Main duties of the job

This exciting opportunity has arisen to support Navigo Performance Team with Administrative Duties and the coordination of Information Governance / GDPR functions.

You will play a vital role in ensuring compliance with data protection regulations and safeguarding the confidentiality and integrity of sensitive information. Your responsibilities will include:

General administration duties, including preparing and distributing meeting papers; minute taking; maintaining associated action trackers; coordination and follow-up of task completion.

Contributing to the identification, assessment, and mitigation of risks related to information governance, including data breaches, privacy incidents, and compliance gaps.

Participating in incident response activities, including investigating and reporting information security incidents, breaches, and near misses, and assisting in the implementation of corrective actions.

Job responsibilities

The role of the Performance Assistant Facilitator:

The post holder will provide support to the Performance Team and the functions it carries out including support with the administration of various meetings.

The post holder will support the Caldicott Guardian and SIRO (Senior Information Risk Owner) in promoting adherence to information governance (IG) best practice within the organisation.

The post holder will provide the required workforce data submissions for the Performance Team (e.g., sickness absence, annual leave tracking).

The post holder will work under supervision of the Digital Programme Manager but the ability to work on your own initiative is essential.

MAIN DUTIES / RESPONSIBILITIES:

Provide administrative support to the following meetings:

GDPR Group Meeting

Digital Strategy Group Meeting

IT Contract Meeting

Systems User Group Meeting

Team Meetings

To include:

Ensuring relevant members and attendees are invited to meetings and have access to papers.

Coordination and distribution of meeting papers (via MS Teams).

Producing minutes.

Maintenance of action trackers and obtaining updates.

Information Governance:

Working as a central communication point of the GDPR Group they will support with:

Provision of administrative support as detailed above.

Monitoring of IG / Confidentiality breaches, reporting these IG incidents to the GDPR Group. In the case of serious incidents immediate reporting of these to the SIRO, Assistant Director of Performance and Caldicott Guardian.

Supporting the maintenance of Navigo data flows and information asset register

Provide administrative support in relation to legislation requirements/implementation for IG, Data Protection; ensuring GDPR guidelines are adhered to.

Provide administrative support in relation to investigation and escalation of IG breaches.

Data Security & Protection Toolkit annual submission to NHSE.

Assist in the development of regular GDPR Newsletters.
