Job summary

Our corporate administration service provides a crucial role in supporting the Chief Executive and Directors (the Senior Leadership Team) with the effective day to day running and management of Sironas business.

This support service provides a wide range of business administration and PA support to the SLT including drafting correspondence, producing documents and reports, carrying out research, collating information and data, managing diaries, arranging meetings and events, building relationships and communicating with a wide range of internal and external stakeholders including visitors, patients/service users, partner organisations, commissioners etc.

The service is required to demonstrate high levels of confidentiality and sensitivity, using discretion and influencing skills in order to prioritise workloads and ensure deadlines are met.

Please note, this role is currently based across Kingswood Civic Centre & Castlewood, Clevedon with some home working but will move to our new headquarters in Yate in due course.

This role is offered permanently at 22.5 hours a week to cover these days as part of a job share: Wednesday, Thursday & Friday

Main duties of the job

This role is responsible for providing a high level of personal assistant support to nominated Executive Director(s), communicating on their behalf with a wide range of internal and external parties as appropriate, and ensuring a comprehensive, high quality and confidential administrative service is provided.

The post holder is expected to prioritise the workload using judgement and initiative, recognising the high profile nature of the work of the Senior Leadership Team and overseeing that all work within the corporate admin office is of the highest standard.

Qualifications

Essential

  • Educated to AS/ A Level or NVQ 3/ Diploma level 3 or equivalent level of experience.
  • Recognised IT qualification or equivalent experience, with evidence of proficient IT skills in Microsoft Office including Word, Excel, Powerpoint

  • Proven experience of personal assistant/executive assistant or secretariat duties at a senior level, preferably in NHS or similar large complex organisation
  • Demonstrate previous experience of supporting Executive/SLT/Board level
  • Accurate minute taking and audio typing skills
  • Experience of working with the public and handling difficult situations with tact, diplomacy, confidentiality and sensitivity
  • Experience of undertaking projects
  • Advanced IT skills to produce good quality presentations and reports
  • Excellent communication skills: written, verbal and listening, across the range of staff groups and stakeholders
  • Excellent telephone manner and customer service skills
  • Ability to use own initiative and work without supervision
  • Excellent time management with ability to prioritise a varied workload and meet deadlines in a pressurised environment
  • Methodical and accurate record keeping and systems
  • Commitment to undertake further training as required
  • Good understanding of the BNSSG geography to enable appropriate diary management including travelling time
