Medical Secretary - Waterloo House Surgery

Job summary

We are looking for a Medical Secretary to join Waterloo House Surgery, Millom.

We are seeking a proactive individual to provide comprehensive secretarial and administrative support to a multidisciplinary team. Responsibilities include processing information, managing patient referrals using the electronic referral service (ERS), and liaising with team members and external agencies in line with current policies. The ideal candidate will have previous experience working in a busy office environment, strong administration and secretarial skills, and the ability to work effectively within a team. Flexibility to cover holidays and absences within the team is preferred.

This is a permanent position and there are 22-30 hours per week available.

Main duties of the job

To be responsible for undertaking a wide range of secretarial and administrative duties and the provision of administrative support to the multidisciplinary team.

Duties can include, but are not limited to, the processing of information, liaising with multidisciplinary team members and external agencies, in accordance with current policies. Processing patient referrals using the electronic referral service (ERS).

  • Bloods allocation
  • E-Referral service Referrals including Fast Track/2WW referrals
  • Community Service referrals
  • Liaising with ICC Hub and Hospitals regarding patient care
  • Sharing blood results/patient details as required with Hospitals and third parties
  • Maintaining and developing relationships with Hospital and third parties
  • Monitoring and updating fast track referrals spreadsheet
  • E-Referral worklist management
  • Managing the Secretaries email address
  • Advice and guidance
  • Assisting and advising the GPs on referral services/keeping GPs up to date with information
  • Referral management on EMIS Web
  • Using ICE/Open-Net ICE (NCL)/Indigo to access patient results where needed for GPs/Nurses
  • Administration of Death notifications and liaising with Medical Examiners Office and local Undertakers
  • Co-Ordinate non-medical NHS requests and appropriate payments received
  • Any other duty as instructed by the management team.
