Job summary

We are a busy 5 doctor GP practice and we require an enthusiastic, and versatileMedical Receptionist/Administrator to join our friendly team.

The role is for approximately 18 hours per week. Part time / job share applicants welcome.

General practice is a challenging environment that requires a flexible and calm approach with the ability to multi-task and work under pressure at peak times and given the nature of the position the applicant must have good communication skills.

The ideal candidate will be a highly motivated team player who has customer service/patient experience.

IT and keyboard skills are essential. A working knowledge of SystmOne would be advantageous although training will be provided for the right candidate.

Experience of working in a GP practice and knowledge of medical terminology are also advantageous but not a necessity.

Main duties of the job

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

Job responsibilities

Patient and Community Services

  • Undertaken face-to-face contact with patients and visitors
  • Welcome patients and communicate with members of the practice team
  • Hand completed repeat prescriptions to patients, and check names and addresses
  • Process appointment requests for future appointments from patients, by telephone and in person
  • Deal with requests for visits and liaise with both GP and patient

Administration

  • Maintain a thorough knowledge of all practice procedures
  • Work in accordance with written protocols
  • Work with various IT programmes and Clinical Systems
  • Undertake filing and photocopying as requested
  • Undertake data entry as required
  • Process patients' change of address requests, with knowledge of the practice area
  • Scan letters and file into patients' clinical record, using a document management tool
  • Make referrals to community services, using SystmOne and NHS Mail

Telephone

  • Have a working knowledge of the telephone system, during and after hours
  • Take calls and deal with each request appropriately (telephonist)
  • Respond to emergency calls appropriately

Information Governance

  • Comply with all Information Governance Policies
  • Comply with all systems for data security and protection
  • Complete annual IG Training

Premises and Equipment

  • Clear rooms after surgeries
  • Ensure building security and report any problems
  • Maintain stock and monitor stationery levels in all rooms
  • Tidy waiting areas and surgery ready for the next session

  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe wat and free from hazards
  • Actively reporting health and safety hazards and infection hazards immediately when recognised
  • Keeping their own work areas and general / patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of their role
  • Undertaking periodic infection control training (at a minimum annually)
