Job summary

The Operations Manager (TCAA) will be responsible for the day-to-day management of The Childrens Air Ambulance. Supporting our diverse teams across both our Air Bases (London Oxford Airport and Retford Gamston Airport) along with our Airdesk Team at Coventry Airport to ensure we provide an outstanding service to our patients and NHS Clinical Partner Teams (CPTs).

The Operations Manager (TCAA) will provide positive leadership whilst having a thorough insight into the activity across the service. Working closely with the Head of Operations, the Operations Manager (TCAA) will be involved in changes and improvements across the service to benefit patients, clinicians and the TCAA team.

Main duties of the job

Purpose

The Operations Manager (TCAA) will be responsible for the effective management of The ChildrensAir Ambulance service. Supporting and supervising a diverse team to ensure outstanding service toour patients and NHS Clinical Partner Teams (CPTs).

Relationships

Internal

The Operations Manager (TCAA) will work closely with the Head of Operations, Operations Team

Leader, Airdesk Team Leader, Education Coordinator, Crew Members, Airdesk Staff, Pilots and will

also support interdepartmental relationships with the wider charity functions as and whenrequired.

External

The Operations Manager(TCAA) will work closely with Clinical Partner Teams (CPTs -NHS specialist

transport teams), Aviation Providers, Ambulance Providers, Hospitals, Suppliers, and visitors toTCAA bases. Your role will be to develop these relationships to maximise and promote our serviceon a national scale

About us

The Childrens Air Ambulance is a pioneering service, changing the face of paediatric and neonatal care through the high-speed transfer of critically ill babies and children flying them from one hospital to another for specialist care via the clinically designed helicopters which provide a flying intensive care unit for babies and children.

In 2023, TCAA transferred the highest number of patients in its ten years of service. Working alongside its 11 Clinical Partner Teams, the lifesaving service took to the skies 200 times - saving 296 hours 34 minutes of vital patient time being out of a hospital environment and 694 hours 54 minutes of valuable NHS clinicians time.

The charity also marked significant milestones as it undertook its first Extra Corporeal Membrane Oxygenation (ECMO) transfer in 2023, which then led to a further three ECMO transfers. TCAA also launched Englands first incubator on a rotary-wing aircraft in December 2022.

Scope

Leadership

Oversee operational activity within TCAA, to support responsive mobilisation of TCAA functions, whilst promoting continuous improvement

Provide effective, positive leadership and support to TCAA staff across multiple sites

Facilitate regular supervision to TCAA Team Leaders along with annual PDRs

Coaching and mentoring of staff to support development

Facilitate regular team meetings

Develop relationships with internal and external stakeholders

Carry out sickness meetings, grievance meetings and disciplinary meetings with the support of HR, when required

Compliance

Attend and provide updates to Clinical Governance Meetings

Carry out audits of air bases and aircrafts (IPC, daily checks, etc)

Embed standardisation across the team and air bases, whilst supporting staff with any new procedures and changes

Lead on incident reports relating to TCAA, carry out reviews, feedback and learning

Review, update and introduce Standard Operating Procedures, ensuring they are fit for purpose

Ensure all operational and contractual obligations are met and meet NHS partners needs

Ensure the service is compliant with regulatory / accreditation requirements (ie CQC, CAMTS)

Monitor Key Performance Indicators within the service to ensure they are met, whilst providing feedback on breaches

Implement improvements which will improve service delivery

General

Support the implementation of TCAA Strategy

Proactively lead on the arrangements for ground ambulance transfers, maintaining relationships with providers, reviewing governance procedures and SLAs

Effectively manage equipment servicing, collaboration and inspections enabling equipment to be readily available. Whilst leading on procurement for equipment

Proactively manage changing proprieties on a daily basis to ensure tasks are completed

Engage and work cohesively with CPTs to increase utilisation of TCAA, whilst developing clinicians awareness of TCAA procedures

Engage and work cohesively with staff to enhance service delivery

Communicate effectively and problem solve when problems arise whilst closely liaising with relevant teams

Promote positive Crew Resource Management

Act as the Deputy for the Head of Operations when required

Lead on allocated projects as requested by the Head of Operations

Complete administrative and operational tasks as requested by the Head of Operations

PR/Media & Fundraising

Actively promote the work of TCAA when hosting base visits and any appropriate opportunities

Participate in the charities fundraising activities

Adhere to Social Media Policy, always representing TCAA professionally
