Job summary

Key Responsibilities:

  1. Liaise with NHS patients regarding appointments

  2. Inbound and outbound referral management

  3. Liaise with clinicians and consultants and to ensure urgent referrals are prioritised and forwarded to the appropriate services

  4. Processing new referrals via e-RS and entering them on EmisWeb

  5. To be responsible for ensuring that discharges letters are sent according to the organisations procedures

  6. To be responsible for sending out appointment letters using DocMail

  7. To be responsible for send hospital referral information to patients via Royal Mail

  8. To undertake scanning of any clinical documents, or other materials, to EmisWeb materials in a systematic way

  9. To provide support for appointment management

  10. Providing reception/administration duties for clinics

Main duties of the job

Main Tasks:

  1. Answering the telephone and handling patient queries

  2. Ensure that test and scan results have been received prior to clinics

  3. Using EmisWeb to book, cancel and rearrange appointments

  4. Access inbound patient referral information via e-RS

  5. Administer community clinics throughout Newham when cover is required

  6. Ensure all letters/faxes/emails received from General Practitioners and within the service are processed accord to the organisations protocols

  7. Populate data collection spreadsheets as necessary

  8. Facilitate cover for sickness and annual leave absence where appropriate

  9. Attend all mandatory training on an annual basis

  10. Attend weekly admin team meetings

  11. Attend clinical team meetings, where required

  12. Work as an effective team member

PFSE is a GP led organisation based in Stratford serving the population of East London. We provide a range of clinical services to patients at sites based in local GP surgeries, across Newham, Tower Hamlets and Waltham Forest. Our services are delivered by working closely with our GP colleagues to ensure you get the best possible care as quickly as possible. This also allows us to provide NHS care for patientscloser to home.

staff and other health service business and meet the requirements of the Data

The post holder must comply with all PFSE information and data protection

policies at all times. The work of a NHS Trust is of a confidential nature and

any information gained by the post holder in their role must not be

communicated to other persons except where required in the recognised

course of duty.

Health and Safety:

Employees must be aware of the responsibilities placed on them under the

Health and Safety at Work Act (1974) and must follow these in full at all times,

including ensuring that they act in line with all agreed procedures at all times

in order to maintain a safe environment for patients, visitors and colleagues.
