Job summary
The Ward Clerk for our Adult In-Patient Unit at Fair Havens will provide coordinated team and patient administrative support as part of our care team, where palliative and end of life care is provided.
Main duties of the job
- Provide a "first point of call" for contact to the In-Patient Unit to provide general non-clinical advice, information, or guidance directly to patients, clients, relatives or carers.
- Typing letters and other documents as required.
- Organising and maintaining a suitable filing system for documents.
- Under the direction of the ward manger co-ordinates and manages staff mandatory training; books and monitors attendance.
- Shredding of confidential documents.
- Planning and organisation of straightforward tasks, some of which may be ongoing.
- Providing Annual leave/ absence cover for some of the role the IPU care-coordinator as required.
- Taking telephone calls, sometimes from patients or distressed relatives where there may be barriers to understanding.
- Ensuring that messages are passed to the correct person.
- Organising meetings - team meetings, case conferences.
- Taking minutes at meetings and being responsible for distributing them accordingly.
- Distribution of post within the In-Patient Unit
- Responsible for maintaining stock control, ordering and processing invoices.
- General office organisation to include assisting with stock and uniform ordering, raising purchase orders, collation of patient and family feedback and processing of agency staff time sheets. In addition to this any other appropriate duties as agreed with the Ward Manager.

- To be responsible for ensuring that volunteers are sought via Volunteer Services, to assist within the department and that they have a clearly defined task and sufficient direction and work to do in the support of all team members
- To ensure that volunteers understand what they are required to do and provide any monitoring and training that they require on an ongoing basis.
