Main Duties and Responsibilities

The key responsibilities of the Team Leader are to:

1. Work with Derbyshire Mind, the team of Support Workers and volunteers, to play a key part in the delivery of a quality crisis support service.

2. Line-manage the Support Workers including for example conducting line management meetings, authorising annual leave, conducting annual Individual Performance Reviews (IPR), provide emotional and wellbeing support to staff, carry out any performance management required.

3. Provide support and supervision to the Volunteers, including for example, understanding and supporting their goals, providing 1:1 and team support, providing emotional and wellbeing support.

4. Create, coordinate, and communicate the staff and volunteer rotas on an ongoing basis at least 6 weeks in advance, ensuring any gaps caused by planned leave are covered. Respond to rota gaps, caused by unplanned leave such as sickness, swiftly and effectively to ensure cover is found and the service is unaffected.

5. Monitor the On Call Manager log to review the reasons for calls to the on call manager, and address with training where applicable to reduce operational issues during a shift.

6. Step in and provide short-term cover for the service shift(s) if sufficient Support Workers are unavailable due to sickness or unplanned leave.

7. Keep an accurate log of staff hours worked against contracted and report monthly overtime hours to the Finance Manager.

8. Coordinate and manage the reimbursement of staff and volunteer travel expenses in a timely manner in line with processes.

9. Lead recruitment and induction of CSDI service staff and volunteers.

10. Coordinate clinical supervision and wellbeing support for all staff and volunteers.

11. Ensure that all staff and volunteers within the CSDI team receive an induction, mandatory training, and on-going training according to their individual personal development plan.

12. Encourage the CSDI team to support service users to develop self-management strategies and to make the best use of the local resources around them, to increase their ability to effectively manage mental health crisis.

13. To support staff and volunteers in developing their computer and technology skills and train them in the use of applications such as Microsoft Office 365 and CharityLog, and any other office equipment as required. Troubleshoot any IT issues outside of IT support open hours where possible and follow up during the working week if necessary.

14. Assist in ensuring that local systems and procedures are being adhered to.

15. Work with the team to proactively look for ways to continuously improve the service, and work with the Service Lead to implement improvements.

16. To assist the Service Lead in monitoring, planning budgets and expenditure, and holding responsibility for all local service-related supplies, equipment, requisition and stock control.

17. Maintain the facilities to a good standard and troubleshoot where required for onsite issues such as health and safety, heating, printing, alarms etc.

18. Play an integral role in instilling Derbyshire Minds values through the Crisis Support Drop-In service.

19. Work flexibly in terms of working hours and locations (including evenings and weekend as necessary) in order to offer support and visibility to the three CSDI teams, as well as attend meetings related to the services.

20. Undertaking training as required or considered appropriate for the role.

21. Actively participate in regular supervision sessions and team meetings.

22. Participate in Individual Performance Review and Personal Development plans, and to undertake training and development as identified within these discussions and as indicated by the requirements of the post.

23. Be proactive in reviewing and evaluating personal performance and identifying areas for improvement and development.

General

24. Provide cover for other members of the Crisis Support Drop-In service teams across Derbyshire as necessary.

25. Participate in the assessment of risk and thereby contribute towards clinical governance as appropriate.

26. Maintain the confidentiality of information about clients and other services, in accordance with Derbyshire Minds policies and procedures.

27. Keep up to date on all matters relating to Derbyshire Minds policies and procedures, and adhere to these at all times.

28. Be familiar with matters relating to health and safety management and work in accordance with Derbyshire Minds Health and Safety policy and procedures.

Qualifications

Essential

• Good level of general education, including English and Maths at GCSE grade C and above.

Desirable

• Leadership training or administrative qualifications

Essential

• Strong organisational and administrative skills and knowledge
• Strong IT skills, including the use of Microsoft Office programs.
• Leadership skills to support and motivate staff.
• Strong planning and problem-solving skills.
• Strong verbal and written communication skills.
• Ability to deal with conflict, staying calm, and work with a solution-focused approach.
• Understanding of working within safeguarding, data protection, confidentiality and equality frameworks.
• Knowledge of how to support a team with maintaining professional boundaries.

Desirable

• Knowledge of the local areas of Buxton, Ripley and Swadlincote.
• Knowledge and understanding of relevant statutory authorities including NHS and social care.
• Knowledge and understanding of mental health issues and mental health crisis.

Ability to Work Flexibly

Essential

• Car driver and access to vehicle with ability to travel independently around Derbyshire.
• Willingness and ability to work flexibly in terms of working outside of normal office hours and supporting a service that needs to run all year round

• Experience of working in an administrative role
• Experience of managing a team or service.

• Experience managing rotas, timesheets and expenses.
