Job summary

The role of Senior Clinical Team Business Support Manager is in place to lead and coordinate comprehensive office management systems across the Rennie Grove and Peace Patient Services directorate.

You will work at Grove House, St Albans, however travel between all Rennie Grove and Peace offices will be required as part of this role so a car and driving licence will be essential. Hours: 37.5 hours per week Salary: £28,169 per annum Closing: 8 June 2023 at 12 noon

Main duties of the job

  • Responsible for providing high quality personal assistant (PA) exec level service to the Chief Clinical Officer (CCO) and Medical Director (MD).
  • Support and coordinate the work of the Patient Services Assistant Directors.
  • Contribute to the day to day running of the patient services administration operations, ensuring effective internal and external Liaison and communications processes are in place.
  • Lead by example ensuring high quality standards and best practice administration/secretarial support and office systems that are in place and flexible to meet the business needs.
  • Line manage the Rennie Grove and Peace Coordination hub team admin lead and the department administration coordinators.
  • Participate in the development of patient services key priorities and operation plans, ensuring agreed time scales are adhered to.
  • Providing secretarial support to relevant SCT governance and operational internal/external meetings and relevant committees.
  • Encourage a supportive culture that encourages the highest possible standards of professional conduct.
  • Acting as a Rennie Grove and Peace ambassador within the community.

Essential

  • Good general education, with GCSE (or equivalent) Maths and English (Level 4 and above/Grade A to C).

Experience

Essential

  • Demonstrable experience of relevant administration responsibilities within an office environment.
  • Relevant experience of managing staff and/or volunteers.
  • Proven experience of working with databases and other IT systems, including writing and producing reports/statistics.
  • Experience of good customer service and complaint handling.

Desirable

  • Experience of providing administrative support to clinical teams.
  • Experience of working in a clinical environment.
  • Experience of leading and motivating teams of volunteers.
  • Experience of office facilities management, such as premises and health and safety.

Knowledge and skills

Essential

  • A good understanding of technology with a working knowledge of Microsoft 365 packages i.e. Word, Excel, Outlook, SharePoint and Teams.
  • Able to build good working relationships.
  • Able to communicate effectively both verbally and in writing.
  • Professional telephone manger with the ability to respond to emotional/distressing phone calls whilst taking detailed messages.
  • Good administrative and record keeping skills and able to work with good attention to detail.
  • Strong organisational skills.

  • Basic knowledge of medical terminology.
