As the Site Supervisor, you will be responsible for maintaining a safe, clean, and high-quality environment at Claire House Liverpool. You'll oversee the day-to-day operations of the estate and facilities, ensuring that the site meets health and safety standards and remains an inviting space for all who visit and work here. Your role will include managing site maintenance, coordinating volunteers, and supporting various teams within the hospice to ensure smooth daily operations.

A key part of the role is volunteer coordination. We are seeking someone with exceptional people skills to manage two key aspects: overseeing the daily operations of reception, gardening, and facilitation volunteers, and managing corporate volunteers. Youll need the ability and confidence to communicate effectively with everyonefrom regular gardening volunteers to managers and CEOs of local and global companies that support us with regular visits to complete small projects in the gardens and buildings.

Youll be supported by our Estates & Facilities Operations Manager, based on the Wirral, who will rely on you to ensure Claire House is compliant but will also be available for advice and guidance.

By providing specialist nursing, end-of-life care, and emotional support, Claire House supports families through some of the toughest times of their lives.

We have two sites: a full hospice on the Wirral that opened in 1998, and a second site in West Derby, Liverpool. The Liverpool site offers day-care, complementary therapies, clinics, play and music sessions, and counselling.

At our Liverpool site, we are looking for a committed Site Supervisor to join our amazing Estates team. We have big plans for West Derby, with a bespoke, state-of-the-art hospice planned to be built over the next few years.

The successful candidate will be the focal point for health & safety and compliance, theyll always be supportive to make things happen, but always ensuring risk is documented and minimised

Undertake straightforward repairs and maintenance as required, within the level of ability.

The postholder will work closely with the Volunteering Team

The role will support the Care and Income Generation & Volunteering Teams who work at Claire House Liverpool.

To ensure grounds, gardens, and pathways are kept free of debris and hazards.

3. Scope of the Job

Responsible for maintaining a safe and high-quality environment for all who visit and work at Claire House Liverpool

The role requires a recognised Health & Safety qualification (e.g. IOSH, NVQ Level 4 Qualification in Site Management), with training in key aspects of Estates management such as risk assessments and Legionella awareness. The postholder should also have experience in site supervision and volunteer management or similar

Undertake regular inspections/audits as directed by the Estates & Facilities Operations Manager

To support the Care and Income Generation & Volunteering Teams who work at Claire House Liverpool with their day-to-day facilities needs

To work with and develop a team of volunteers who actively contribute to the smooth day to day running of the site.

4. Dimensions and Limits of Authority

To comply with all appropriate Health and Safety regulations, fire regulations, and maintenance standards set by the Care Quality Commission.

The role adheres to Pre-Planned Maintenance schedule and delegated task-list as agreed by the Estates & Facilities Operations Manager and Facilities

The role is supported by the volunteering polices and procedures as agreed by the Head of Volunteering

The post has a small, delegated budget to ensure the smooth running of the site

5. Qualifications and Skill Level

Demonstrate good levels of knowledge and skills in relation to building maintenance and H & S requirements

Capable ICT user for example Office 365 suite and the use of APPs as all records will be kept electronically

First Aid trained or willingness to undertake a first aid course

Transferrable people skills which enable strong working relationships and specifically working well with volunteers are essential

The postholder will be organised and very reliable

Holding a full UK driving licence

PART 2: DUTIES AND KEY REPONSIBILITIES

1. The Day to Day Running of the Claire House Liverpool Site (55 percent)

Opening the site in the mornings (8am)

Liaising with the Housekeeping Team ensuring they have the relevant supplies and equipment to carry out their daily tasks maintaining agreed stock levels

Liaison with Care Services teams regarding the support required for service provision activities scheduled for each week

Setting the site up for the day in line with the meetings and other activities planned. Ensure that the premises are in a safe, tidy and satisfactory condition

Ensure/check efficient operation of mechanical, electrical, heating and water services to ensure site levels of such services are maintained

Carry out Pre Planned Maintenance (PPM) Tasks as agreed with the Estates & Facilities Operations Manager including fire checks, weekly fire alarm testing, emergency lighting, legionella flushing, drainage etc, maintaining clear and up-to-date records of all checks carried out

Undertake straightforward repairs and maintenance as required and within level of ability

To attend to visiting contractors and host them on site where required.

To ensure that the site in excellent decorative order, undertaking painting etc as necessary and as agreed with the Estates & Facilities Operations Manager

Undertake regular checks on unused parts of the building

To ensure grounds, gardens and pathways are kept free of debris and hazards

Essential qualifications include experience in site supervision, health and safety compliance, and volunteer management. The role requires strong organizational skills, leadership abilities, and the capacity to manage compliance documentation.

Coordinate waste disposal, post, deliveries etc.

Coordinate and support contractors on site as requested by the Estates & Facilities Operations Manager

Coordinate and support a named person(s) to lock up the site at the end of the day (6pm)

To be willing and able to support and coordinate out of hours (evening and weekend) work, as required (for which time off in lieu or overtime) will be agreed.

Be on call for out of hours emergencies

Provide first aid support for the hospice if required

2. Volunteer Coordination (15 percent)

With the support of a Volunteer Coordinator, recruit, train and retain a team of volunteers. Coordinating a daily volunteer rota, ensuring that volunteers are matched to tasks as agreed with the volunteering team and the Estates & Facilities Operations Manager

Guide, support and develop volunteers within the Liverpool building ensuring they are competent to fulfil their role

Welcome volunteers on-site and set them up for the day

Support the Income Generation Team with onsite Corporate Volunteering days

Continue to grow the volunteering support within the Liverpool site, including day to day management of Meet and Greet Volunteers, Gardeners and Facilitation Volunteers

3. Health and Safety (20 percent)

To comply with all appropriate Health and Safety regulations, fire regulations and maintenance standards set by the Care Quality Commission.

4. Leadership & Management (10 percent)

Ensure clear, concise and timely communication regarding on-site activities or and issues that may impact on users of the site
