The ideal candidate will provide administrative support for the Service Manager/Clinicians/Senior Clinicians and Clinical Leads; be first point of contact for clients, ensuring high quality processes are enacted to manage correspondence, phone calls, clinical appointments etc. Deliver a high standard of administration support, including scheduling, taking notes and providing accurate documentation; ensure effective customer relations at all times and apply effective communication to defuse difficult circumstances, ensure complaints are responded to and front-line resolution is applied to de-escalate the formalising of complaints and escalating within the complaints process where appropriate; manage the service area waiting list in partnership with the Service Manager and make every attempt to ensure the time from referral to service is minimised

Main duties of the job

You will have excellent verbal and written communication skills, with the ability to tailor communications to clients and other customer needs; extensive experience of working in a busy and diverse office environment; experience of arranging meetings, recording and circulating accurate minutes; knowledge of and experience in using Microsoft packages including Word, Excel, PowerPoint and sufficient understanding of IT to be able to learn quickly how to use new software packages; experience of implementing computer-based record management systems; excellent organisational skills and the ability to remain focused whilst experiencing frequent interruptions.
