Sunray surgery is a well-established
surgery based in the heart of Tolworth. The surgery was acquired by Kingston GP
Chambers (KGPC) in Spring 2023 and has exciting plans for significantly increasing
its patient list following extensive regeneration of the surrounding areas.
The successful post-holder will work four days a week and shall be
responsible for the day to day management of the surgery, and will be supported
by the Deputy Service Manager in ensuring the practice runs smoothly to enable
the best clinical care to be provided to patients. The role will also
work closely with a number of key internal stakeholders to ensure training,
compliance, staffing and recruitment matters are dealt with appropriately.
This is a new within the structure of the surgery and represents a wonderful
opportunity to develop and grow as the role evolves. Following induction, the
post holder will be expected to work independently with minimal supervision and
to comply with regular performance reporting requirements to KGPC Head Office.
Main duties of the job
Staff line management
- Day to day management of the admin workforce; escalating significant HR issues to the Recruitment and Retention Manager.
- Ensure sufficient clinical cover, including booking locum staff where necessary.
- Line management of administrative staff, including: day to day staff supervision, rostering, training and appraisal.
- Chair practice meetings, ensuring accurate minutes are kept and distributed to staff.
Clinic management
- Set up all clinics on the clinical records system (EMIS).
- Take responsibility for the arrangements to ensure that patient screening, annual checks and vaccination targets are met. Monitor and report on these targets.
- Lead on the optimising of patient appointment utilisation and phone performance.
- Monitor phone lines to ensure that call wait time targets are achieved.
- Manage the process for communicating with patients regarding appointments and specialist clinics, aiming to keep DNA rates to a minimum.
Patient experience
- Manage patient communications regarding opening time and special clinics and other important correspondence.
- Oversee patient satisfaction analysis (e.g. Friends & Family Test). Preparing reports on the outcomes of surveys and presenting solutions to any negative issues identified.
- Update and promote the surgery website in collaboration with Digital Transformation Project Manager.
- Collaborate with the KGPC compliance team to ensure patient complaints are managed appropriately.

Kingston GP Chambers is a Federation of all NHS General Practices within the Royal Borough of Kingston upon Thames. It was founded in 2008 as a limited company whose shareholders are all 20 GP Practices within Kingston. The company is led by a Board of Directors who are also GP Partners in their own Practices within Kingston.
Kingston GP Chambers has worked collaboratively with both secondary care and the private sector. At present we provide community clinics for Dermatology, Urology, Neurology, Dementia and Diabetes.
In addition, Kingston GP Chambers are at the forefront of improving patient access to primary care. We deliver a comprehensive extended hours service offering GP appointments across three hubs in the evenings Monday to Friday, over the weekend and on Bank Holidays. Kingston GP Chambers has the ability to respond rapidly, and we have continued to demonstrate the capability to provide high-quality, innovative and timely solutions to improving patient care and experience. We work closely alongside the other GP Federations in Southwest London to continue the government's five-year forward plan and deliver patient services in the community. We aim to continue to grow as we are increasingly recognised as the provider of choice for extended, enhanced and urgent GP services. We also expect an increasing role as we support, reinforce and develop the position of general practice as the core building block for an increasing range of jointly-provided services.

- Ensure sufficient stock of consumables by undertaking regular stock checks; ordering supplies where necessary in a cost effective manner.
Governance and compliance
- Work with the Deputy Service Manager to ensure that all practice policies and procedures are kept up to date and are complied with.
- Work with the KGPC Compliance Team to ensure that the practice has a comprehensive risk register, that all risks have a management plan and that any actions required as part of the plan are undertaken and recorded.
- Ensure that internal patient safetynetting processes are followed and that comprehensive records are kept.
- Identify areas for improvement where applicable, utilising significant events as future learning opportunities.
Collaborative working
- Participate fully as part of the Kingston GP Chambers Management Team, including contributing to the development of the business plan and taking responsibility for the delivery of allocated aspects of the plan.
- Participate in regular management meetings, including providing an accurate picture of the performance and challenges relating to Sunray Surgery in order to identify areas where colleagues can provide support; and in turn, supporting colleagues as appropriate.
- Work with the Kingston Education Centre Manager and the Clinical Services Manager to provide support where necessary, achieve economies of scale and share good practice.
- Support the COOs to identify cost pressures, service development and cost improvement plans and develop business cases.
