Job summary

As a Quality and Clinical Governance Administrator, you will play a key role in supporting the delivery of an effective service by providing efficient administrative support across Ty Hafans care services. Working closely with the Quality and Clinical Governance Lead, your focus will be on ensuring compliance, supporting quality improvement, and maintaining audit activity to continuously improve our services.

You will participate in the management of clinical data and audit processes, supporting care service projects and ensuring actions are documented, fed back to the Quality and Clinical Governance Lead and implemented while maintaining an inspection-ready approach at all times.

The role is part time, 15 hours per week.

Main duties of the job

Were looking for a personable individual who is flexible, solution focused and hasthe ability to work in a fast-paced clinical environment. You will be a team player who can see the bigger picture and contribute to wider team goals, while also being confident to work independently and use your own initiative.

Youll have experience in healthcare administration, using clinical systems and be confident handling complex clinical information. You will also need a good understanding of medical terminology, data protection and safeguarding.

Excellent communication skills and advanced IT skills are also key.

Job description

Job responsibilities

Support the Quality and Clinical Governance Lead by:

Participate in appropriate clinical audits and data collection, ensuring care is beingprovided in line with current standards, to encourage quality improvementinitiatives.

Ensure audit outcomes are fed back to the Quality and Clinical Governance Leadfor reporting, and support is provided in implementing actions driven by the auditoutcomes.

Participate in quality improvement initiatives, listing, and with the support of the Quality and Clinical Governance Lead prioritising improvement opportunities, collating and organising data, and recommending/ implementing potential solutions that will encourage sustainable change in practice.

Provide administration and co-ordination support for project management initiatives, supporting the work of the Quality and Clinical Governance Lead and wider team to achieve all project goals in a timely manner.

Support with regular updates to the Health Inspectorate Wales data, always maintaining an inspection ready approach.

Support with the administration aspects of updating of policies and procedures, informing employees of any new/updated policies and other changes.

Organise and attend relevant meetings, ensuring agendas are created and cascaded, all meetings minuted, and any actions are communicated and tracked through to completion.

Continuous review of staff meetings, ensuring each has a specific purpose, outcomes and actions, and suggesting adjustments when required to improve efficiency.

Partake in regular updates and training in relation to the ICT packages used at Ty Hafan, including attending updates on The Care Database, RADAR and T100 to be able to provide expert knowledge and support to the care team with any enquiries and difficulties they may encounter.

Take a key role in the care database focus groups, to support continuous improvement of the use of the care database system, while ensuring meetings have an agenda, are minuted and have actions allocated to individuals that are chased through to completion.

Provide oversight of the care stock budget, ensuring each purchase made is both necessary, timely and cost effective, liaising with The Director of Nursing and Clinical Services and the Finance team for the budgeting and purchasing of high cost equipment and stock.

Provide administrative support with responses to concerns or complaints on RADAR, liaising with the Quality and Clinical Governance Lead to ensure response timescales are well managed, and actions are tracked.

In the absence of the Administration Manager, provide administrative PA support to the Director of Nursing and Clinical services, and the Director of Family

Wellbeing and Outreach Services.

Support the Caldicott Guardian in ensuring compliance with processes in relation to subject access requests.
