Join our friendly People Team, which spans a wide range of functions, as an HR Administrator. You'll mainly be supporting our HR function with recruitment activities, document processing, communications and responding to queries.

You'll be based in our Warwick Hospice office, working across 4 days, Monday-Friday (working hours to be agreed but will be between 22.5 and 25 hours per week). You may need to occasionally work at our Coventry or Rugby Hospices, or more rarely to visit our shops. There is some flexibility to work from home on occasion.

Main duties of the job

A typical day as our HR Administrator might look like:

  • Advertising a job vacancy
  • Sharing job applications with the relevant hiring manager
  • Helping an employee to find and access their benefits
  • Meeting an applicant to carry out pre-employment checks
  • Entering, updating or running a report of employee records
  • Sending an exit questionnaire to a leaver

This role is varied, with a combination of ad-hoc and routine tasks, and some which are not traditional administrative tasks, involving some creativity and flexibility.

You'll need:

  • Experience of providing a service and administrative / office processes
  • Skills in organisation, time management, customer service, teamwork and communication
  • Attention to detail
  • Confidence with IT
  • Professionalism
  • To maintain confidentiality

Previous HR or business administration experience would be helpful but is not essential. A willingness to learn and support with a range of activities is key.

This role will require a standard DBS check because you will be working in an adult healthcare environment. We will arrange and cover the cost of this check if appointed.

There may be occasional travel to our other sites so you will need to have some means of transport to Warwick, Coventry and Rugby.

To be responsible for administrative People Team processes and provide general support to the HR Team. This will enable the HR Team to best advise and support Myton in managing its people.

Main Duties & Responsibilities

Recruitment:

  • Posting jobs, sending out actual offers (overseen and supported by the Resourcing and Reward officer
  • Arranging and carrying out pre-employment document checks (overseen by the R&P officer)
  • Supporting direct patient-facing managers with interview arrangements & supporting organisation of any larger scale recruitment events like open days
  • Ensure that all recruitment and new starter related documents are appropriately scanned, filed and input where required into the HR system, and that all recruitment related documents are either retained or destroyed as appropriate in line with GDPR best practice

Supporting employment processes:

  • Producing standard employment correspondence such as for contract variations, probationary periods, pay review letters and other changes to employment arrangements
  • Responding to reference requests
  • Carrying out processes for employees leaving the organisation
  • Tracking and administering required DBS checks in line with DBS policy
  • Tracking sick pay entitlement for employees on long term sickness absence
  • Issuing eye test vouchers

Information management & data reporting:

  • Ensure that all relevant documents are digitally filed into employee files and carry out archiving / destruction in line with data protection policies
  • Assist with updating details on the HR and Payroll system and other HR records and systems, as directed by HR team members
  • Prepare regular headcount and recruitment data reports
  • Maintain confidentiality and security of HR information

General support:

  • Be a key point of contact for the HR team and provide a good standard of customer service
  • Signpost employees and managers to relevant HR policies, procedures and schemes
  • Track and monitor all People Team related policy renewal dates to prompt completion of reviews and updates
  • On occasion, required to provide administrative support to other teams in the organisation
