Job summary
We are looking for a reliable and enthusiastic Bank Medical Records Clerk to join our team on a permanent basis.
The applicant will be responsible for maintaining an efficient Medical Records Library whilst acting as an active member of the medical records team, involved in giving users of the department a swift response to requests.
The Medical Records department provides an efficient service to all users of the department and so this role requires someone with excellent attention to detail, communication skills and reliability.
Located in leafy St Johns Wood on the Jubilee line, minutes from Central London, our independent private Hospital has just been rated the number one in the country for care in the latest Bupa survey. Uniquely, all profits fund our onsite Hospice, St Johns.

What are the Responsibilities of this Bank Medical Records Clerk role?
- To input patient data on the offsite medical records database in an accurate manner according to department policies.
- To be responsible for the co-ordination of notes sent & retrieved from offsite storage & recording of transactions.
- To coordinate the destruction of offsite medical records accordingly.
- To ensure all results are filed in patients notes in a timely manner, using the PIMS system to search for patient numbers where necessary.
- Ability to ensure that all information is recorded accurately

track and file all Healthcare Records accurately into the Medical Records
Library
- To
ensure all activity and movement of the notes are recorded in accordance to
Hospital policies
- To
prepare all Healthcare Records for inpatient and outpatient activity in a
timely manner and in accordance with departmental standards
- To
coordinate the off-site storage of healthcare records: assigning bar codes to
new files/boxes, sending files and boxes
to off-site storage and retrieving records from storage in a timely manner when
requested by Hospital staff, consultants and/or third parties.
- To
action subject access requests in accordance to Hospital policies and national
guidance
- To
be aware of the Data Protection Act, Freedom of Information Act and Caldicott
Principles as they affect day to day work.
- To
undertake all other duties within the Library in accordance with departmental
policies and procedures: weeding,
splitting notes, and requesting notes from offsite storage.
- To assist the supervisor with collecting data for departmental
and Hospital audits / KPIs
- To
undertake any other duties within the department that are consistent to the
band level.
- To
carry out general household duties in the library to ensure Health and Safety
standards are upheld.
- To
ensure healthcare records are available for clinical coders in a timely manner.
- To
action the Hospitals destruction policy in line with Department of Health
guidelines
- To
action scanning of Healthcare Records as part of the library as necessary. To
raise Healthcare Records where necessary from scanned images.
- Liaise
with all Hospital colleagues in a polite and customer focussed manner to enable
an effective and efficient Healthcare Records service delivery
- To
be an ambassador of the Hospitals values
- To
participate in PDRs (personal development reviews and annual appraisals)

be conversant with fire and manual handling policies
