Job summary

We are seeking to appoint a Workforce (Rota) Coordinator to be responsible for ensuring clinical rotas are staffed across the multiple services Nimbuscare delivers. The successful candidate will be responsible for ensuring all clinical rotas are coordinated effectively and to ensure rota compliance.

We need someone who is able to work well independently, with excellent communication skills and is able to engage and build effective relationships with clerical and clinical colleagues.

You will need to have good organisational and problem solving skills, the ability to prioritise, together with a flexible approach to working in order to meet the demands of the services.

Main duties of the job

To be the main point of contact for all clinical rota matters

Proactively ensure the clinical rotas are filled across Nimbuscare services

Identifying workforce gaps, acting on planned and unplanned absence to ensure service delivery is maintained and escalated where necessary

Liaise with the Operational Services Manager to ensure that rotas are reflective of planned service delivery to ensure sufficient resource and safe staffing numbers

Identify and highlight opportunities to make improvements to the clinical rotas that will improve patient experience, support our workforce and reduce pressure on the services

Utilise the clinical rota system (Rotamaster) including supporting clinicians with set up, shift booking and responding to queries as required

Ensure shifts are updated on the clinical rota system on a daily basis to reflect actual hours worked to support with Payroll

In this busy challenging role, you will be able to work to your own initiative, be comfortable in making decisions within the scope of the role whilst demonstrating an understanding and inclusive manner with the wider team.

The post holder will be responsible for ensuring clinical rotas are staffed across the multiple services Nimbuscare delivers. They will be responsible for ensuring all clinical rotas are coordinated effectively.

This post holder will ensure an appropriate level of skill mix and clinical safety is maintained at all times in line with service provision.

Person Specification



  • Good standard of general education up to A Level / NVQ Level 3

Skills & Knowledge


  • To prioritise own workload effectively and multi-task
  • Excellent attention to detail
  • Ability to work to a high standard of accuracy
  • Excellent communication skills written and verbal
  • Responds pro-actively and positively to a role that is demanding, varied and time-sensitive
  • An understanding of differing clinical remits within a Primary Care setting
  • Ability to problem solve
  • Comprehensive IT skills including outlook, word and excel
  • Able to be responsive in time critical situations
  • Works well with others, is positive and helpful, listens and involves , respects and learns from the contribution of others



  • Demonstrable experience in an administrative role including rota management
  • Proven experience of working with clinical rota systems e.g SystymOne / Emis
  • Experience of working in a fast paced and changing environment


  • Knowledge of working in the healthcare sector / NHS or similar clinical rostering role
