Job summary

Channel Health Alliance, a GP federation providing NHS services, is seeking to recruit an administrator to support the administration and senior management teams.

We are looking for a part-time (30 hours per week/days and hours are negotiable) Administrator to join our small friendly team based in Dover.

Main duties of the job

As part of the administrative team, you will provide excellent administrative support and skills and good working relationships with colleagues and senior managers. You will be an excellent communicator with an excellent knowledge of IT systems and have the ability to prioritise your workload, ensuring that work is completed in a professional, safe and timely manner. Have excellent and proven customer care skills and the ability to be flexible and move between the company's sites and services.

Since Channel Health Alliance was established in April of 2017 providing a range of primary and community services on behalf of the NHS. We are delighted to have attained accreditation with the Care Quality Commission, and a CQC rating of good which only a few federations have achieved.

Job description

Job responsibilities

Coordinate corporate meetings, including scheduling, creating agendas and minute taking.

Oversee the annual audit and monitoring program to ensure they are being carried out when due and record compliance.

Support with the completion of Monthly Quality reports, Annual Audit reports and Annual Incident reports.

Record Incidents, Safeguarding referrals, compliments, complaints via TeamNet and file information for audit purposes.

Manage the quality inbox, ensuring that emails are dealt with in a timely manner and filed appropriately.

Collate completed audit documentation; log, analyse and report.

Construct ad hoc newsletters and/or posters for internal circulation

Organise the Calibration of Medical Equipment (Annual)

Log clinical supervision attendance and provide certificates to attendees.

Preparing, organising and storing information in digital form on patient records.

Monitor and action the supplies email account.

To take park in the on-call rota (1 in 4 weeks weekly rate of pay and expenses claimable).

Take ownership of placing orders for consumables/equipment and proactively deliver to our units at RVH, Folkestone, Deal Hospital and Buckland Hospital to ensure our staff have supplies.

Work without supervision & ensure urgent situations are addressed swiftly

Ensure workload is managed & prioritized appropriately

  • GCSE grade A to C in English and Maths

Experience

  • Experience working in a service-focused environment, providing professional support within a busy office environment.
  • Experience in utilising a full range of general office management knowledge and administrative processes and procedures to include confident use of the telephone and providing a confident approach when interacting with our clinical and office staff
  • Experience of working in a team

Desirable

  • Experience of working in the NHS/public body or private
  • Experience in using EMIS Web an advantage and When I Work or similar is desirable, however, full training will be provided.
