Job Title: Project Support Officer

Salary: Pay will be determined based on the level of administrative experience.

Job Summary:Safecare Network, North Lincolnshire GP Federation, is seeking a highly motivated individual to join our team at Ashby Clinic, Collum Lane, Scunthorpe. The Project Support Officer will play a crucial role in supporting daily operations, managing administrative responsibilities, and assisting with Safecare Network services. Key duties include liaising with patients, clinicians, and patients' relatives, arranging clinic appointments, managing administrative tasks, and providing organisational support for meetings.

Candidates should have experience using the MS Office suite and demonstrate strong administrative capabilities.

This job description serves as a guide and may evolve in line with the needs of the organisation. Additional duties may be assigned as reasonably required by Safecare Network.

Main duties of the job

Core Functions:

Project Support & Oversight: Ensure operational effectiveness and service evaluation for Safecare services, including the Urgent Access Hub, Frailty Service (SAFE), and other new developments. Responsibilities include task administration, appointment monitoring, and service delivery tasks.

Recruitment & Retention: Assist in administering Safecare Network clinical recruitment and retention processes, including compliance monitoring.

Business Operations: Contribute to the daily business operations of Safecare Network, addressing a variety of administrative tasks as directed.

Data Collection & Reporting: Collect KPI data and complete reporting templates for Safecare's services.

Service Queries: Respond to service-related inquiries, troubleshoot issues, and escalate concerns to the line manager as needed.

Rota Management: Assist with managing Doctors' rotas using Rota-Master when required.

GP Protected Learning Time (PLT): Play a key role in organising bi-monthly PLT events, including preparing paperwork, booking rooms and equipment, distributing materials, and handling evaluation forms.

Stakeholder Relations: Establish and maintain strong working relationships with member GP practices and key stakeholders.

Project Management: Support the project management of contracted service delivery, including monitoring delivery plans and assisting with performance management.

The post holder will support the day to day running of Safecare Network Ltd. This will include tasks of an administrative nature, including the processing of invoices, administration duties associated with the running of Safecare Network services and the organisational support for key meetings.

Governance:

  • Adhere to all Safecare Governance and Assurance policies and procedures.
  • Ensure that any project risks identified are reported to the Chief Operating Officer in a timely manner (as and when appropriate)

Project Management

  • Support the development and delivery of project plans, identifying risks and issues as appropriate to the level of responsibility of the role,
  • Support the maintenance of risk registers for all services and the Board Assurance Documents
  • Be responsible for a high standard of work supporting the delivery of projects
  • Responsible for the planning and organisation of various events/meetings, and workshops, ensuring distribution of relevant paperwork (minutes, agenda, presentations) in a timely manner.
  • Develop close working relationships with GP practices.

Information Management

Service Development Responsibilities

  • Support the wider engagement with key stakeholders in the development of plans, through organisation of meetings/workshops etc.

  • Lead on the coordination of clinics for SAFE and UAH services
  • Support the development of a program of clinical and quality audits (for all operating services)
