Job Summary

The post holder will aid in the daily operations of Safecare Network Ltd, undertaking administrative responsibilities such as processing invoices, managing administrative tasks related to Safecare Network services, and providing organizational support for key meetings.

The job description and person specification serve as a framework for the tasks, responsibilities, and outcomes expected of the role, subject to ongoing review to align with the evolving needs of the organization. The post holder may also be assigned additional duties as reasonably required by Safecare Network Ltd.

We want to hear from highly motivated, individuals to join our team in Ashby, Scunthorpe to assist in the delivery of this exciting program. You will need to have experience of using MS Office suite.

Main duties of the job

Core Functions:

  • Provide project support and oversight to ensure operational effectiveness and evaluation of Safecare's services, such as the Urgent Access Hub (UAH), Frailty Service (SAFE), and any new developments, including task administration, appointment monitoring, and service delivery tasks.
  • Assist in the administration of Safecare Network Ltd.'s recruitment and retention process, along with compliance monitoring.
  • Contribute, as directed, to the day-to-day business operations of Safecare Network Ltd., addressing various responsibilities.
  • Collect KPI data and complete reporting templates for Safecare's existing services.
  • Respond to service-related queries, troubleshoot issues, and escalate concerns to the line manager when necessary.
  • Contribute, as needed, to the management of Doctors' rotas through Rota-Master.
  • Play a role in organizing the GP Protected Learning Time (PLT) bi-monthly, including paperwork production, room and equipment bookings, paperwork distribution, and evaluation form handling.
  • Establish strong working relationships with member GP practices and other key stakeholders.
  • Provide support to ensure effective project management of any contracted service delivery, including monitoring project delivery plans and supporting performance management.
  • Collate information for developing performance and financial reports for the Chief Operating Officer/Operational Business Manager.

The post holder will support the day to day running of Safecare Network Ltd. This will include tasks of an administrative nature, including the processing of invoices, administration duties associated with the running of Safecare Network services and the organisational support for key meetings.

Governance:

  • Adhere to all Safecare Governance and Assurance policies and procedures.
  • Ensure that any project risks identified are reported to the Chief Operating Officer in a timely manner (as and when appropriate)

Project Management

  • Support the development and delivery of project plans, identifying risks and issues as appropriate to the level of responsibility of the role,
  • Support the maintenance of risk registers for all services and the Board Assurance Documents
  • Be responsible for a high standard of work supporting the delivery of projects
  • Responsible for the planning and organisation of various events/meetings, and workshops, ensuring distribution of relevant paperwork (minutes, agenda, presentations) in a timely manner.
  • Develop close working relationships with GP practices.

Information Management

Service Development Responsibilities

  • Support the wider engagement with key stakeholders in the development of plans, through organisation of meetings/workshops etc.
