If so, we have an exciting opportunity for you to join our team as a Support services coordinator in our 4 units within our Merseyside Cluster. This is a full time, permanent position working 36 hours per week flexibly over Monday to Saturday. Further information on the shift pattern can be found below.
As the Support Services Coordinator, your primary responsibility will be to oversee and manage the quality administrative and support services within our unit. You will ensure that our facilities are "fit for purpose" and the delivery of client-oriented services is coordinated effectively.
Your role will involve line managing a multi-disciplinary support team, maintaining effective communication systems, managing budgets, complying with legal and regulatory requirements, and ensuring a high standard of cleanliness and infection control.
You will also bring:
- Previous experience in an administrative capacity, preferably within a care environment.
- Proven experience in managing people and resources effectively.
- Knowledge of management techniques, budget management, and facilities management.
- Strong administrative and communication skills.
- Excellent problem-solving skills and the ability to maintain strict confidentiality.
Main duties of the job
Key Responsibilities:
- Lead and motivate a multi-disciplinary support team, setting targets and ensuring the achievement of unit targets and quality standards.
- Maintain effective communication systems within the department, facilitating communication between staff, departments, and units.
- Implement HR policies and procedures, including performance management, sickness absence, and grievance handling.
- Contribute to the development of the unit's annual budget and ensure cost-effective delivery of services.
- Monitor stock levels, coordinate stock purchasing, and maintain appropriate stock controls.
- Assist the Clinic Manager in meeting legal and regulatory requirements, including inspections from regulatory bodies and compliance with health and safety regulations.
- Conduct risk assessments, maintain registers, and promote a culture of health and safety within the unit.
- Develop and maintain administrative systems, including filing, word processing, and spreadsheet systems.
- Coordinate and monitor contracts with external suppliers, including planned preventative maintenance.
- Uphold the professional image of the organisation and comply with information governance requirements and data protection regulations.
