Are you a strong administrator looking for a new challenge?
The Booking and Information Centre are looking to recruit an Administrative Support colleague at our Head Office in Leamington Spa.You will work 36 hours per week( More details below). Once fully trained, this role will become hybrid with 2 days in the office and 3 days from home.
Home to over 100 colleagues, the BIC deal with over 6000 contacts on a weekly basis via phone and email. The team are non-judgmental and offer first class client care. The BIC is fast paced and dynamic, where no two days are the same. You will work alongside other colleagues to help support the BIC with admin duties. This will involve monitoring and clearing the admin inboxes, completing tasks sheets and providing phone support to the BIC as and when directed.
About you:
You will need to have good communication and listening skills, along with experience of working within a customer care environment. You will be excited by a challenge, can work in a team and are able to remain calm in stressful situations. A big part of the role involves moving in-between tasks and managing multiple shared inboxes, so flexibility and multi-tasking is key!
Main duties of the job
- To ensure clients are booked into a suitable appointment in line with client needs and unit capabilities
- To monitor the availability of appointments and to notify the management team where there is a shortage
- Assisting with a variety of administration tasks to support the BIC
- To identify and obtain funding for NHS clients accessing BPAS services
- To manager the Booking & Information Centre Admin inboxes
- Ensure the inbox is clear of all queries before the end of your shift, making the team aware of any that have not been dealt with
- Process requests from external providers for adding and / or blocking appointments
- Update resourcing spreadsheets with information in relation to staffing levels
