Job summary
The purpose of the 7-Day GP Service Administrator role is to support the smooth day-to-day back office operations for the 7-Day GP Service
and associated services which
serve the population of Southport and Formby, as follows;
(Main support service) Acute
Visiting Service which provides home visits on behalf of GP Practices
(Occasional cover support service)
7-Day GP Service and the Extended Hours Service
There is also an element of the
post dedicated to supporting the process of referrals via ERS (Electronic
Referral System) Federation wide.
The key tasks of the Administrator are to:
- Register new patients on to EMIS ahead of service opening times.
- Process and scan incoming lab results and match them to patient records, raising queries with the service manager, laboratories and/or responsible director.
- Check and track correspondence and onward referrals to general practice
- Check and track referrals for 2-week wait to ensure they are followed through.
- Liaise with General Practice.
- Feedback anomalies to the Service Manager and the 7-Day GP Service.
- Maintain stock levels within the and order/replenish as required.
- Process referrals using the electronic referral system (ERS);
liaising with external agencies such as hospitals and community services,
ensuring referrals are processed efficiently.
Main duties of the job
The role is based at Freshfield Surgery, 61 Gores Lane in Formby with some cross site working at our offices on Church Street in Southport. The weekly hours are 25 and the successful candidate must be flexible across Monday to Friday.
It is essential for the 7-Day GP Service Support Administrator to have experience of using the EMIS clinical system as this will be the main system used on a daily bases. We will unfortunately not accept applications without EMIS experience at this time. Having some General Practice knowledge is helpful although not essential.

About us
The 7-Day GP Service is held at 107 Liverpool Rd Southport during 5-9pm Mon-Fri and 9-1pm Saturday and Sunday. It offers non-urgent general practice appointments bookable via the patients own surgery and covers Southport and Formby.
We also provide an acute home visiting service.
The post will provide vital administration support during daytime office hours for these services. You will work with a range of clinical and non-clinical staff in a happy and friendly office setting. You will join a growing GP Federation which can offer you support and training as well as staff well being initiatives and benefits.

To send SMS reminders to all

To send SMS feedback to patients
from previous day.
To action and complete all
outstanding tasks from previous evening/session.
To forward tasks to General
Practice, followed by a phone call if task hasnt been actioned.
To process incoming unmatched lab
results and assign to GP on duty for action or filing.
To receive incoming and initiate
outgoing telephone calls in order to facilitate timely and appropriate
communications with patients, practices, hospitals and other outside agencies,
taking messages, dealing with appropriate queries and raising any queries with
the service manager, laboratories and/or responsible director.
To liaise with IT support
department to resolve other hardware and software issues.
To update/reset passwords when staff get locked out.
Process referrals using the electronic referral system (ERS);
liaising with external agencies such as hospitals and community services,
ensuring referrals are processed efficiently.
To generate and reset EMIS accounts for new and employed staff
when required.
To maintain the computer clinical system in an accurate, secure
and confidential manner.
To liaise with General Practice to highlight incidents, risks or
concerns. To share learning and develop a good working relationship.
To feedback anomalies to the Service Manager and the 7-Day GP
Service.
To maintain stock levels within
the service and escalate when stocks are low.
