Job summary

The role will support the Workforce Planning Manager with the production and maintenance of all of the unscheduled care rotas.The role will primarily be responsible for: Supporting the advanced planning of rotas, clinical and non-clinical, for all services within the Group. Ensure effective communication with stakeholders is ongoing and supportive, driving change where necessary.

Rota builds and long-term amendments/additions

Booking new starters into rota patterns as agreed by recruitment/management.

Booking Pathways training and buddy shifts on to Rotamaster

Removing leavers and applying contract changes to Rotamaster

Maintaining Rotamaster master rota

Maintaining master rota templates in Excel with rota patterns, FTE, hours per week, role, intake/go live dates

Job responsibilities

Job Title: Workforce Planning Support

Responsible to: Workforce Planning Manager

Location/Base:Home based with travel to contact centers or bases if needed

Hours per Week: 37.5 Hours flexibility

Key Relationships: Managers and Staff at all levels, HR and Recruitment Team, GPs, Nurses and Allied Health Professionals.

Overall Purpose of the Role: The post holder will support the Workforce Planning Manager with the production and maintenance of all of the unscheduled care rotas. The role will primarily be responsible for: Supporting the advanced planning of rotas, clinical and non-clinical, for all services within the Group. Ensure effective communication with stakeholders is ongoing and supportive, driving change where necessary. The post holder will support the provision of high-quality patient care by working with the administrative and management teams to maintain our rotas. This will involve close liaison with both clinical and operational staff, management teams and approved external agency suppliers. The post holder will be contributing towards a one team culture throughout the organisation and supporting the workforce planning manager in ensuring that the rota patterns meet the demand coming into the service and that patients will have adequate clinical support to meet their needs Principle Responsibilities will Include:

As part of this role, you will assist and work with other internal stakeholders. You will support teams that

work across a variety of service delivery areas to support.

Your main areas of responsibility will include but not limited to:

Rota builds and long-term amendments/additions

Booking new starters into rota patterns as agreed by recruitment/management.

Booking Pathways training and buddy shifts on to Rotamaster

Removing leavers and applying contract changes to Rotamaster

Maintaining Rotamaster master rota

Adding skills to Rotamaster profiles following completion of training or advanced skills

Provisionally negotiating amendments or new rota patterns for clinicians working bespoke rotas and advice to Operations Management

Tracking vacancies and liaising with line managers and HR

Collating rota allocations from Recruitment to ensure we are not over recruiting.

Advising management on the impact of any bespoke rota requests

Rota replication

Monthly rota review in terms of missing skills, payrates, role corrections

Review Payroll Check spreadsheet

Supporting Rota Team mailbox when time allows

Creation of Rotamaster profiles for all HUC staff roles New

Close down of Rotamaster profiles for all HUC operational staff roles

Amendment of Rotamaster profiles for all HUC operational staff roles following contract amendments
