Job summary

Together with the Operations Manager the role of the Deputy Operations Manager (DOM) is to provide High level administrative support to the Clinical Directors, Operations Manager and practices at locality network level, to develop and support service improvement and transformation work aligned to local and national priorities. This includes building on current primary care provision and working proactively with the wider network to ensure we can offer our local population sustainable, proactive, personalized, coordinated and more integrated health and care.

Main duties of the job

MAIN RESPONISBILITIES Audits and Returns Complete a wide range of audits accessing and interpreting GP Practice and Worcestershire Acute Trust patient data Collate data from a range of sources for analysis working with staff in GP Practices, Worcestershire Health and Care Trust and The Clinical Commissioning Group (CCG) Complete monthly and quarterly returns required by the CCG and NHSE as part of the GP contract and any enhanced services Enhanced Access Administer the Enhanced Hours service and including the collation of data, analysis, and reporting. IT Systems To administer, search and report on a range of IT systems working with IT staff in the GP Practices including but not exclusive to EMIS, ICE, Docman, Eclipse, EConsult, Mjog, AccuRX Management of PCN Teamnet/Intranet. Administrative Support Provide administrative support to the Clinical Directors and Practice Managers Manage a variety of PCN staff rotas to ensure the day-to-day operations are run effectively and efficiently In collaboration with the PCN IT support services help build a library of templates for the needs of the PCN With the PCN Finance team, maintain records of collected payments and raise invoices for payment Organise meetings and Agendas for the Primary Care Network team including event bookings Collate and edit 3 monthly newsletters and publications for the PCN and Patient Participation groups (PPG) PCN Event Management to include training and patient events

  • Point of contact for absence and organise Return To Work (RTW) meetings
  • Co-ordination and sign off of annual leave requests
  • Overtime
  • Line Managing ARRS Staff

Information Governance

  • Awareness of GDPR requirements with regards to the PCN and be responsible for ensuring compliance.
  • Work in partnership with the Federation (SW Healthcare) on the development and implementation of PCN Data Sharing agreements.

Communications and Working Relationships

  • Liaise with third parties with regard to aspects of PCN work including Social Prescribers and Lifestyle Advisors
  • Liaise with PPG groups regarding all aspects of PCN work and to ensure that good effective lines of communication are maintained.
  • Management of the PCN Management
  • Ensure practice websites are keep up to date on PCN development.
  • Ensure the PCN Community is kept up to date through a variety of accessible mediums.

Location

The post will be based in one of the GP practices (currently Merstow Green) within the PCN and will work and travel across the GP Practices. The post holder will be expected to allocate time each week to a practice, manage and prioritise the workload accordingly.
