Job summary

The role of the Senior Administrator is to provide High level administrative support to the Clinical Director and practices at locality network level to develop and support service improvement and transformation work aligned to local and national priorities. This includes building on current primary care provision and working proactively with the wider network to ensure we can offer our local population sustainable, proactive, personalized, coordinated and more integrated health and care.

The work supports the vision of South Worcestershire Alliance Board to deliver care in a more coordinated way so that we treat and support people where possible within their local communities.

Main duties of the job

Audits and Returns

Complete a wide range of audits accessing and interpreting GP Practice and Worcestershire Acute Trust patient data

Collate data from a range of sources for analysis working with staff in GP Practices, Worcestershire Health and Care Trust and The Clinical Commissioning Group (CCG)

Complete monthly and quarterly returns required by the CCG and NHSE as part of the GP contract and any enhanced services

Extended Hours and Extended Access

Administer the Extended Hours enhanced service and Extended Access Service including the collation of data, analysis and reporting.

IT Systems

To administer, search and report on a range of IT systems working with IT staff in the GP Practices including but not exclusive to

EMIS, ICE, Docman, Eclipse, EConsult, Mjog, AccuRX

Management of PCN Teamnet/Intranet

Manage rotas to ensure the day to day operations are run effectively and efficiently

Build a standard library of EMIS templates for the needs of the PCN

To maintain current records of collected payments and raise invoices for payment

Organise meetings and Agendas for the Primary Care Network PPG including event bookings

Collate and edit newsletters and publications for the PCN and PPG groups.

PCN Event Management to include training and patient events

Meeting Attendance

Attending all PCN/PCE and operations group meetings. Working with the PCN Clinical Director to prepare agendas and papers, taking minutes and ensuring that action points are followed up and completed.

Attending GP practice meetings when required.

PCN HR Tasks

Point of contact for ARRS employee - From onboarding, workforce planning (scheduling where necessary)

Organising on-site risk assessments as required by health questionnaire

Point of contract for absence (SA to then organise for PCN Manager and CD and work allocator - to be informed) post absence schedule back to work and organise RTW meeting

Producing monthly payroll reports detailing absences

Co-ordination and sign off of annual leave requests

Line Managing ARRS Staff

Conducting 1:1s and Appraisals

Information Governance

Awareness of GDPR requirements with regard to the PCN and be responsible for ensuring compliance.

Work in partnership with the Federation on the development and implementation of PCN Data Sharing agreements.

Communications and Working Relationships

Liaise with third parties with regard to aspects of PCN work including Social Prescribers and Lifestyle Advisors

Liaise with PPG groups regarding all aspects of PCN work and to ensure that good effective lines of communication are maintained.

Management of the PCN Management

Ensure practice websites are keep up to date on PCN development.

Ensure the PCN Community is kept up to date through a variety of accessible mediums.

Depict the PCN identity and purpose through the development of a logo.

Location

The post will be based in one of the GP practices within the PCN and will work and travel across the GP Practices. The post holder will be expected to allocate time each week to a practice and manage and prioritise the workload accordingly.
