Job summary

We are looking for people who are able to work unsupervised with a methodical approach and a high level of attention to detail to support the day to day operations of our vaccination sites. As Rota Coordinator for the Mass Vaccination sites you will be responsible for providing a high level of rota management to the senior managers at the various sites. This will vary from identifying staffing gaps, escalating where necessary, ensuring safe staffing numbers and maintaining roster templates. You will be a super user of the HR systems, undertake data entry and all round administration duties whilst ensuring confidentiality at all times.

Main duties of the job

Working with the Workforce Planning Team to create effective rotas in line with staff availability

Taking full ownership of the site workforce provision, ensuring that gaps are identified and managed in accordance with business need

Ensuring employee compliance with due diligence, governance and HR requirements.

To troubleshoot and be the point of contact for rota queries and escalate as appropriate

To be IT confident and up to date with all basic systems, especially excel. Foundry, EMIS, Lantum and Sharepoint experience beneficial not not essential

Taking full ownership of the site workforce provision, ensuring that gaps are identified and managed in accordance with business need

Ensuring employee compliance with due diligence, governance and HR requirements.

Creation of electronic identification cards and managing appropriately

Ensuring staff, service users and visitors are adhering to safe practices at all times

Facilitating the onboarding of new staff within the covid programme, ensuring induction, site level orientation and training is completed before adding onto rota

Building collaborative relationships with internal and external project stakeholders to ensure the best patient outcome

Coordinating staff including GP Lead, Clinical Leads, Immunisers, Administrators, Security and Marshalls

Excellent customer service skills, recognising the internal customers and treating all with dignity and respect

Acting as a role model and a champion for good communication, embedding good ethics and championing an enthusiastic and positive culture

To be a brand ambassador for SW Healthcares culture, values and reputation as providers of high-quality services

Supporting Site Managers with official visits and ensuring policy is upheld at all times

Excellent verbal and non-verbal communication skills, acting as a calm and confident role model for the wider team

Accurate and accountable, making sure handovers are complete with other team members

Attending meetings with the workforce planning team on a weekly basis

Guaranteeing all patients visitors and staff past and present are left with a positive image of the vaccination process, ensuring good infection control, movement of people with a customer orientated approach
