Job summary

Age UK Coventry & Warwickshire are looking for a full-time, talented and confident HR Administrator to join our friendly and supportive Admin Team at our Head Office in Leamington Spa.

You will provide support to the Admin Team Leader on confidential HR related administration tasks, including responsibility for updating electronic systems. You will also provide general administration support to other members of the organisation including staff, Trustees and Volunteers.

Main duties of the job

Working alongside a small team of administrators, you will plan and prioritise a busy and varied workload. Being organised, competent and professional combined with relevant experience in a similar environment is essential.

You should have exceptional IT skills, be methodical in your approach to tasks, and be meticulous in all your duties whilst displaying the ability and confidence to communicate at all levels within the organisation. You will be comfortable handling enquiries from a variety of end-users and be able to carry out relevant administrative duties with accuracy and speed.

You will ensure that all duties are undertaken with due regard and compliance with the General Data Protection Act 2018 and any other related legislation.

This is a diverse role - you must have a flexible and proactive approach to work and be able to work independently, whilst being part of a team.

Job description

Job responsibilities

To work as part of a team of administrators to provide high quality, flexible, administrative support for Age UK Coventry and Warwickshire (AUKCW) with specific focus on the HR administration. The post holder will be expected to work proactively and flexibly to maximise organisational effectiveness and efficiency.

1. Keep up to date staff records including annual leave, sickness and contractual terms

2. Prepare HR documents such as employment contracts and leave cards

3. Enrol staff on training as part of induction and on-going renewal programme

4. Provide accurate and timely information for payroll process

5. Provide relevant staffing information for Board and Committee reports

6. Support managers with the recruitment process from advert to offer.

7. Carry out DBS checks and obtain references in line with AUKCW agreed policies and procedures

8. Producing and circulating staff correspondence

9. Update and access personal data in line with GDPR guidelines and AUKCW policies and procedures.

10. Monitor and manage the HR inbox

11. Organise both internal and external meetings including management of calendars, room bookings, preparing paperwork and minutes.

12. Support with note taking in staff performance management meetings.

13. Support the team with general administration tasks and cover for reception where necessary

14. Attend team and supervision meetings.

15. Undertake specific project work under the guidance of the Senior Administrator or Leadership team.

16. To adhere to all relevant organisation policy with particular reference to health and safety, GDPR and confidentiality

You will have excellent IT skills including accurate data entry and proficient use of Microsoft Office: Word, Excel, and Outlook .

Excellent written and verbal communication skills .

An ability to carry out tasks in an organised, efficient and methodical manner .

Effective planning skills with good time management, including the ability to work to tight deadlines and re-prioritise work as required .

Ability to listen and interpret information.

Ability to be proactive, take initiative, work independently and be self-motivated.
