Job summary

Invicta Health are looking for a Training Coordinator to join the team and help shape the future of Primary Care in Kent and Medway by coordinating and facilitating training programmes for dedicated professionals.

Main duties of the job

Accountable to the Training & Development Manager, the Training Coordinator is responsible for providing comprehensive, efficient, and timely administration support to the Invicta Heath Learning service, dealing with all aspects of training co-ordination, delegate registration and customer support via the Invicta Health Learning Management System (IHLMS).

Job description

Job responsibilities

  • To provide administrative support with course and in house training co-ordination including:

o Sourcing appropriate and cost-effective venues.

o Liaising with trainers to confirm training dates and requirements.

o Update the IHLMS with details of new courses and workshops.

o Ensure all workshop joining instructions are issued to delegates, trainers, and venues where appropriate.

o Update the IHLMS with confirmed attendance post training.

o Updating and maintaining course booking records

o Ensure sign ups and cancellations are actioned accordingly.

o Monitor waiting lists, removing users from the wait list as appropriate and raising concerns to the Training & Development Manager.

o Collate Feedback and Evaluation forms and ensure information is accurately recorded.

o Process invoices from trainers, logging and supporting Training & Development Manager with any chasing of invoices as required.

  • Undertake maintenance on the Learning Management System, ensuring all course information and links are up to date and amend as required.
  • Update and maintain records and databases to include:

o Practice lists and organisational frameworks via the IHLMS.

o Database of venues and amenities.

o Database of trainers and training requirements.

  • Undertake user and account maintenance to include:

o Ensure user accounts are up to date and accurate.

o Ensure GP practice user lists are updated, and the suspension and purge processes are followed as required.

o Approve new users and support with access.

  • Provide customer support via telephone and email, regularly monitor the incoming emails, action and escalate issues as appropriate.
  • Collate training information updates and send out newsletter and social media updates as directed by the Training & Development Manager.
  • Send out global messages to users to promote courses.
  • Support the Training & Development Manager with any training requests via Invicta Health Learning Plus.
  • Assist the Training Team manager with the collation of statistics and data for reporting.
  • Support the HCA Training Lead with any required STEP course administration.
  • As directed by the Training & Development Manager, attend meetings and take minutes.
  • Support the Training & Development Manager with the training of new members of staff on the LMS.
