There is an exciting opportunity for an assistant to the Head of Quality & Professional Standards.
Please note this role is part time, 30 hours per week.
The
post holder will assist the Head of Quality and Professional Standards to maintain
oversight of the quality performance and associated processes across the organisation
and support the delivery of the Strategic objectives framework.
The post
holder will act as the system administrator for the organisations automated
risk management system providing support and training to staff to optimise the
use of the system.
Main duties of the job
- To provide general administrative support to the Head of Quality and Professional Standards.
- To provide support in the management of the Quality agenda.
- To receive, enter, analyse, and present data of relevance to aspects of quality and governance when required under direction of the head of Quality and Professional Standards.
- To liaise with external bodies in a professional manner, providing information or referring to other members of the team as required.
- To work closely with and provide professional support to staff and service managers to support the quality agenda.
- To support the Head of Quality to ensure effective dissemination of learning throughout the organisation.

Main Responsibilities
- To provide general administrative support to the Head of Quality and Professional Standards.
- To provide support in the management of the Quality agenda including:
- o Planning and scheduling meetings
- o Drafting agendas, minute taking and maintaining action logs
- o Collating reports, preparing data and summaries e.g. exception reporting
- To receive, enter, analyse, and present data of relevance to aspects of quality and governance when required under direction of the head of Quality and Professional Standards.
- To liaise with external bodies in a professional manner, providing information or referring to other members of the team as required
- To work closely with and provide professional support to staff and service managers to support the quality agenda
- To provide relevant support to ensure the accuracy of data submission as required
- To support the Head of Quality to ensure effective dissemination of learning throughout the organisation.
- Under the supervision of the Head of Quality work with teams to monitor the progress of action plans and highlight where barriers my inhibit this.
- Under direction and supervision of the Head of Quality to work independently with teams providing necessary administrative support to enable the effective record keeping of compliance issues.
- Participate in committees/groups across the organisation as necessary for the role.
- Identify own training and development needs and undertake appropriate training/education as required, supported by regular PDP review by the Head of Quality and Professional Standards.
- Deliver training as necessary to staff and managers in the use of Ulysses.
- Support staff and managers across the organisation on a day-to-day basis to ensure Ulysses risk management system is used to its full potential.
The post holder will be expected to:
- Manage safety alerts from external governing bodies ensuring documentation and dissemination to relevant practitioners and services in accordance with Organisation policy.
- Work flexibly across the corporate team to ensure business continuity is maintained as and when required e.g during periods of staff absence or increased service demand.

- Good standard of general education.

- ECDL level 2 or equivalent.
- NVQ level 3 Administration.
- RSA level 3 (relevant to role).
Experience

- Demonstrable relevant experience in a similar role.
- Experience of electronic diary management.
- Advanced excel entering data and creation of databases.
- Experience of agenda setting/minute taking & maintaining action logs.
- Experience of supporting communication strategies at all levels.

- Experience of working in the NHS.
