This is an existing post working within a small busy team of fourVolunteer Services Partners,reporting to the Volunteer Services and Development Manager.

Your work basis will be hybrid between working from home and our Milton Hospice Office, CB24 6AB. A full UK driving license and use of own car is essential for this role as occasional travel may be required to EACHs other sites across East Anglia.

Main duties of the job

Are you:

  • Someone who is passionate about the power of volunteering and who is interested in having a positive impact within a rewarding charity?
  • A strong team player who isself motivated and able to juggle workload with a flexible approach?
  • Confident in speaking with potential volunteers and engaging with internal and external stakeholders?

Do you have:

  • Experience in recruiting or managing volunteers/staff (preferred but not essential)?
  • Excellent IT skills including excel (and ideally using a Cascade/Volunteering, HR database)?
  • Excellent organisational and administrative skills?

    Responsibilities include:

    • Recruiting and onboarding volunteers across Cambridgeshire within in our shops, fundraising teams, Help at Home service and our hospice.
    • Matching volunteers to areas compatible with their skills and to maximise these to the benefit of EACH and the volunteer.
    • Nurture relationships with key external recruitment sources for your area.
    • Providing potential and existing volunteers with friendly, responsive and effective support.
    • Offer support and guidance to those who manager volunteers across the organisation.

    Job description

    Job responsibilities

    Job Summary:

    The Volunteer Services Administrator is responsible for the partnering with key stakeholders across the organisation to facilitate the recruitment, onboarding, communication and motivation of volunteers across EACH. They will manage the administration of voluntary activity across East Anglias Childrens Hospices (EACH) as well as providing support and guidance for those who manage volunteers. The post holder will have responsibility for a set geographical area, but be expected to support to cover other areas when required.

    Responsibilities:

    • Act as first point of contact for potential volunteers, answering calls, emails, taking messages, proactively following up on any actions, and dealing with queries and forwarding them as appropriate
    • Match volunteers to areas compatible with their skills and to maximise these to the benefit of EACH and the volunteer.
    • Administer the recruitment and selection of volunteers across EACH. This includes tasks such as preparing job descriptions, drafting advertisements, arranging interviews, allocating training, administering DBS checks, requesting occupational health checks etc.

    • Manage our volunteer database, ensuring that up to date, confidential records of volunteers are kept and management of the shared volunteer services inbox and shared drives and ensure the accurate filing, saving and archiving of all central documents.

    • Provide information and statistics necessary for monitoring and reporting and extract relevant reports via EACHs HR/Volunteer database Cascade

    • Provide general administrative support to voluntary services across EACH. This includes: data entry, use of spreadsheets, correspondence photocopying, scanning and filing.
    • Promote volunteer vacancies by posting volunteer roles on our own web site, external recruitment sites and utilising new strategic partnerships where established.

    • Work with our Marketing and Communications to optimise social media promotion for key volunteer vacancies

    • Hold relationships with key external recruitment sources for your area such Community payback, Prison resettlement etc.

    • Undertake other projects as required such as arranging the annual Volunteers Day and other Thank You functions for volunteers

    • Assist supervisors in resolving volunteer related problems. To deal with issues of grievance and discipline among volunteers in liaison with the Volunteer Services and Development manager

    • Provide recruitment support and best practise sessions to key persons within the organisation e.g. shop managers including 1:1s and some on the ground support with recruitment in the local area, building links etc
    • Provide induction meet ups for new starters who will be supervising volunteers

    • Support with the creation of new volunteer roles including creation of role descriptions, ensuring appropriate induction and training in place
