Job Title: Ward Clerk
Location: Main Hospice Site
Reports To: Clinical Admin and Systems Lead
Salary: £14,948.40 pro rata, £24,914 FTE
Work pattern: Tuesday 8am – 4pm; Wednesday 8am – 4pm; Every third Saturday 8am-4pm
Contract Type: Permanent
Are you a highly organised administrator with a warm, compassionate personality and strong communication skills?
Saint Catherine’s Hospice is looking for a ward clerk to join our inpatient team, supporting the clinical team by administrative support and a friendly caring welcome to visitors to our newly refurbished inpatient unit.
The successful candidate will work two weekdays (Tuesday and Wednesday) and one in three Saturdays to ensure a seven-day service for our patients and relatives. There will be opportunities for extra hours to provide cover for Annual Leave and sickness within the team. Weekend work is paid at enhanced hours.
What you’ll do:
- Arrange staff cover for the in-patient unit as required, in conjunction with the senior nurse/team leader, using Staff Care (staff database).
- Enter patient details as needed onto System 1 (patient database), taking responsibility for the quality of the data and reporting any arising issues around quality to the IG Manager.
- Maintain patient notes correctly for admissions, discharges, and deaths.
- Order, track and return of hospital notes.
- Notify Care Quality Commission of patient deaths.
- Arrange patient transport for admission/discharge/transfer as needed.
- Archive records under GDPR guidelines.
- Support the volunteer ward clerk as needed.
- Provide effective communication with patients, relatives and carers, visitors, staff and others.
- Ensure that all communication is within the boundaries of service user confidentiality and seek clarification when unsure.
- Answer the telephone and conveying messages to appropriate staff and patients, documenting information in accordance with record keeping standards.
- Ensure information related to the personal safety of patients is communicated immediately to the senior nurse/team leader.
- Establish and maintain effective communication and working relationships with multi-professional teams within the hospice and external agencies.
- Provide a welcoming environment to the hospice.
- Deal sensitively with bereaved relatives.
What we’re looking for:
- High attention to detail and ability to ensure data accuracy
- Experience in using information systems / patient record system (experience using SystmOne would be a bonus)
- Strong organisational and time management skills
- Ability to handle multiple tasks and prioritise appropriately
- Proficient in Microsoft Office (Word, Outlook, basic Excel)
- Strong verbal and written communication skills
- Experience maintaining confidentiality and handling sensitive information appropriately
- The ability to demonstrate a good knowledge of the hospice services.
