Job summary

This is a new post, providing administration support for the WACA Primary Care Network Services, including COVID Vaccinations, Social Prescribing, Health Coaching , Physiotherapy and Pharmacy Services. 

Main duties of the job

To assist the management team with all administration, communications and reporting. Working as part of the Executive team to ensure workload is prioritised and delivered to a high standard and in a timely manner.

Job description

Job responsibilities

The post holder will have excellent communication and interpersonal skills, liaising with a wide range of people and practices, both internal and external whilst maintaining diplomacy, professionalism, confidentiality and discretion at all times.

To provide efficient administrative support to the management team, including preparation of letters, reports, slides, spreadsheet data and graphs and servicing meetings to a high standard of presentation.

The coordination of diaries, arranging events, understanding complex instructions and be able to communicate to other directors with a high level of understanding on significant and complex information, including high value and confidential financial information.

Producing accurate records of meetings in action logs, informal notes and formal minutes format, including legal documents, under time pressure and with a high level of accuracy and the ability to work autonomously.

The successful applicant will be a self-starter; they must have excellent planning, organisational and analytical skills.

Be competent at System One, including rota management & reporting on patient data .

  • MS Office knowledge, especially Outlook
  • Excellent written and verbal communication skills with staff at all levels of seniority.
  • Able to present information professionally in written, tabular and graphical formats
  • Interprets information from a wide variety of sources and communicates appropriate content within the department
  • Writes/types with both clarity and accuracy with awareness of what information is needed
  • Ability to build relationships with work colleagues and demonstrates the ability to work as part of a team
  • Ability to encourage enthusiasm in others through own approach to work
  • Able to appropriately handle sensitive or confidential information
  • Always displays a high standard of personal integrity and confidentiality
  • Note taking
  • Full UK Driving License and own transport essential
  • NHS Healthcare sector experience
  • Experience of SystmOne
