An exciting opportunity has arisen for a highly motivated Medical Secretary with excellent interpersonal skills to join our Team here at Springhill.

You will be responsible, in conjunction with your job-share partner, for providing an effective and efficient secretarial/administrative service to our team of Doctors and Nursing Staff.

You will be expected to act on your own initiative to organise, prioritise and co-ordinate your workload, ensuring that deadlines are met.

You must have excellent word processing and administrative skills, as well as previous experience of working within a clinical area in a similar role.

Excellent communication and organisational skills are essential, as is the ability to maintain confidentiality and communicate sensitively with a wide range of people, either face to face or over the phone, in an appropriate and supportive manner.

Main duties of the job

About us

This role is based at Springhill Hospice, Rochdale.

Springhill Hospice providesthe following palliative care services to the local adult population who are suffering from the effects of life-limiting and terminal illnesses:

A 16-bed Inpatient unit providing 24-hour medical and nursing care.

Hospice at Home Service - supports people who want to end their days in their own home by providing the support and symptom management they need to be able to do so.

A Day Therapies Centre for up to 16 patients, 4-days-a-week, offering complementary therapies (e.g. reflexology, aromatherapy and massage); creative and beauty therapies, social activities and clinical support.

Community Service - provides specialist palliative care and support to patients and families in their own homes

A 24-hour Palliative Care Advice Line for patients, families, carers and health professionals.

Bereavement Support for relatives following loss.

Counselling Services for patients, carers and relatives, provided by a qualified therapist.

An Education Unit - an in-house training facility for hospice staff and local health and social care professionals, with the main focus of training being on the Springhill Palliative Care Education Passport' (SPCEP) which ensures that core palliative care skills are taught to all grades of staff.

JOB SUMMARY

To provide an effective and efficient medical secretary service for patient administration within the Hospice.

The post-holder would be required to produce accurate, high quality medical correspondence for our medical team using copy typing, templates and audio if required.

1. Admission, Discharge and Death administration

2. Secretarial and administrative support for all clinical services

3. Out Patient administration

4. Update Patient Statuses on iCare, the patient records system

5. Inputting of daily events onto iCare

6. Keeping iCare up to date with patient information

7. Ambulance bookings

8. Remembrance Service administration

9. Maintaining and updating clinical documentation

10. Maintaining storage of clinical records

11. Undertake any other duties as appropriate to the role.

GENERAL

1. Attend team meetings as appropriate.

2. Maintain excellent lines of communication internally with all visitors, staff and volunteers; and externally with supporters within the local community.

3. Participate in the Hospices education/training programme, including mandatory training. Attend training as required to maintain own knowledge and further develop expertise.

4. All staff have a duty to take reasonable care to avoid injury to themselves or to others.

5. To read, understand and comply with all Hospice policies and procedures, applying the principles as appropriate to role.

6. To be aware of individual specific responsibilities in respect of the Safeguarding of Vulnerable Adults, in relation to role.

7. All information relating to patients and staff gained through employment with Springhill Hospice is confidential. Disclosure to any unauthorised person is a serious disciplinary offence under Springhill Hospice Policies.
