Tower House Surgery is seeking an experienced Office Supervisor. This is an exciting opportunity where no two days are the same. This role is to manage the practices Administration and Reception Teams, ensuring the practice runs smoothly and data is accurately entered and reported. You must have excellent organisational and workload planning skills and communication skills. Great time management skills and an ability to manage change and train others.

This is a full time position of 37.5 hours worked over five days Monday-Friday

Main duties of the job

The main duties of this role is to:

Primarily line manage the administration and reception teams within the practice

To be suitably proficient with IT systems and software applications in a clinical setting

Ensure all administration duties and record keeping is completed to the highest standard

Audit our processes and run searches

Support training for all administration staff

Data protection accordance with GDPR

Support and mentor the team

Work collaboratively with the wider practice team to meet the needs of our diverse range of patients

Support the delivery of required policy and procedures

Support the Operations and Business managers where needed.

About us

Tower House Surgery is a one site surgery and looks after approximately 14500 patients in and around the Ryde area.

The team comprises of 7 GP partners and 2 salaried GPs, 6 advanced practitioners, 8 practice nurses, 2 phlebotomists and 3 HCAs. We also have two managers and a team of 40 staff. Along with our own staff we work closely with our local Social Prescribers, Care Co-ordinators, Physiotherapists and Health and Wellbeing Coaches.

We are an established training practice for both F2s and GP Registrars and support a number of our staff to study for formal qualifications. Our CQC rating is good in all areas. QOF achievement is consistently good and patient surveys have been extremely positive.

Tower House is currently the lead practice in the NE PCN which it belongs to along with 5 other local surgeries. These surgeries work together on a number of projects to deliver healthcare services to the NE of the Isle of Wight.

This role is primarily line managing the practice administration and reception team, carrying out day to day activities to ensure the smooth running of the admin office and two reception desks

The successful candidate must be able to work on their own initiative and have supervisory experience, along with strong IT skills. You must be organised and confident and have a friendly and approachable manner and can work under pressure

Work with the operations manager to identify areas of improvement. Support in the running of elements and services within the practice e.g compliance with CQC, Health and Safety, audits etc

Job responsibilities:

Be an experienced manager/leader of staff

Ensure all administration duties are completed to the highest standard

Support the Operations Manager in the recruitment and induction of all new administration staff

Report and liaise with the Operations Manager re any significant events in the admin team

Be able to maintain clinical databases

Set up and maintain new users according to practice protocol, ensuring they have access to required applications

Troubleshoot IT problems and identify solutions. Where appropriate, report IT faults to appropriate suppliers helpdesk

Support and assist the admin and reception team with all aspects of their jobs and have a good understanding of the different jobs and tasks the team need to be able to complete on a regular basis that form part of running a successful surgery.

Responsible for the smooth running of System one, Accurx, phone system, all internal computer software.

Ensuring the smooth running of the administration team and ensure all administrative staff are trained in their specific role and any other tasks given. Attending all mandatory training

Ensure all administration work including coding, scanning and summarising is completed in a timely manner

Training support and mentoring admin team

Ensure new staff have all the passwords they may need, know how to log on to the desktop, can use any applications they require and that they understand the practices protocol on data security

Monthly meetings to be held for the ongoing support and growth of the administration team

Ensure security of data in accordance with the Data Protection Act

Any other duties commensurate with skills and responsibilities.
