Job Title: Advanced Receptionist (GP Surgery)

Job Purpose: The Advanced Receptionist provides administrative support in a GP surgery, managing patient interactions, coordinating appointments, and assisting the healthcare team.

Key Responsibilities:

  • Greet patients and handle check-ins, ensuring details are updated.
  • Manage appointments, including scheduling, rescheduling, and cancellations.
  • Maintain patient records in the EMR system, ensuring confidentiality.
  • Assist with medical forms, prescriptions, and referral letters.
  • Handle patient inquiries, resolve complaints, and escalate issues as needed.
  • Support billing, insurance verification, and payments.
  • Collaborate with doctors, nurses, and staff to ensure smooth operations.
  • Help with surgery equipment, supplies, and maintaining the waiting area.

Skills & Qualifications:

  • Essential: Experience in healthcare administration, strong communication, organisational skills, and knowledge of medical terminology. Proficiency in office software and confidentiality management.
  • Desirable: Familiarity with GP software (e.g., EMIS Web), first aid certification, and experience handling complaints.

Working Conditions:

  • Part-time, typically Tuesday & Thursday, with overtime requirements fro Annual Leave within the Team. Fast-paced environment.

Job Description:

The Surgery Care Coordinator will work alongside the team to improve patient access and care. This role focuses on ensuring patients receive personalised care, supporting both immediate needs and long-term conditions.

Responsibilities:

  • Day-to-day:
    • Ensure patient needs are met
    • Make appointments
    • Coordinate home visits and community healthcare to reduce hospital admissions
    • Relay test results to patients and providers
    • Input patient records, assist with administrative tasks
    • Greet patients, assist with queries, and collect payments for non-NHS services
    • Support the clinical team and signpost patients
  • Long-term:
    • Participate in audits to improve care and reduce inequalities
    • Coordinate care for long-term conditions and care home residents
    • Support vaccination programmes and care for immediate needs

Professional Development:

  • Participate in annual performance reviews
  • Take responsibility for personal and professional development

Located in a small village, our GP surgery serves a patient list of 7,000 individuals. We have a dedicated team of 6 GPs, including 2 partners, supported by a skilled administrative team. Support the Practice Clinical Team where necessary and signpost appropriately

Long Term-

Participate in and interpret Surgery audits

Ensure that needs are being met within specific patient groups with the view to improve access and reduce inequalities.

Liaise with other departments to deliver a cohesive and effective patient experience

Be part of the Surgery Vaccination programmes

Coordinate care for patients with long term and chronic conditions

Supporting patients with immediate care needs

Work alongside the Clinical Team to support residents in Care Home settings
