Job summary

This is an administrative role which will support the GPs and wider clinical team in the smooth running of clinics by performing the more routine administration tasks on behalf of the clinicians freeing up their time to focus on the patient. The successful applicant will have previous NHS administration experience and preferably have GP Practice experience. They will be able to demonstrate a confident and outgoing approach to work.

Main duties of the job

Arranging appointments, referrals, tests and follow up appointments of patients.

Managing Klinik online consultations and acting upon the information received in the most appropriate way.

Take responsibility for producing Subject Access Requests as necessary.

Extracting all information from clinical letters that needs coding and adding to notes.

Completing basic (non-opinion) forms and core elements of some forms for the GP to approve and sign such as insurance forms, mortgage, benefits agency forms etc.

Data inputting and data extraction via clinical searches.

Sorting all clinical post and prioritising for the GP in terms of actions. Redirecting some post to others such as Physician Associates and pharmacist as appropriate.

Filing and managing radiology and pathology results in a timely manner.

Sutton Manor Surgery is a single site surgery based in Hull. We have a practice population of nearly 7800 patients.

We have four GP Partners and three salaried GPs as well as a Physician Associate, pharmacist, physiotherapist and nursing team.

Qualifications

Essential

  • IT competent with a strong working knowledge of Microsoft Office.
  • Must have customer/patient care skills and have worked in an NHS or similar patient facing environment.
  • Ability to compile and analyse statistical information.
  • GCSE grade A to C in English and Maths.

Experience

Essential

  • Experience of working in a healthcare or similar environment.
  • Experience of coordinating tasks and liaising with multiple colleagues both internal and external to the organisation.
  • Experience of using technology and digital tools.
  • Excellent communication skills

Desirable

  • Experience of working in a GP practice.
  • Primary Care experience as a Healthcare Assistant, Practice Administrator, or other.
  • Experience of working with healthcare professionals and or previous experience in the NHS or social care or relevant field.
  • Experience of using clinical systems such as EMIS or S1.
