Job summary

To work within the Management Team to provide full administrative support to the Partners, Practice Manager and Operations Manager.

Main duties of the job

Assisting the Management Team with the following

MAINTENANCE To liaise with contractors, Landlords and building Management Company

RECRUITMENT Assist with job descriptions, upload job adverts, filter applications, arrange interviews and keep recruitment log up to date, write offer letters and send pack to new starters

HR - Including drawing up contracts, keeping personnel staff folders up to date, produce starter packs ready for first day, arrange introduction meeting with Dr Minhas, ensuring applicant has relevant paperwork / vaccinations, applying for DBS, making sure appraisals and reviews are completed within time scales. Arrange induction sessions with other depts. To keep new starter log up to date.

TRAINING Set new starters up on our training platform, and advise which training is required. Monitor the training matrix regularly to ensure all staff are up to date with training, and remind them to complete any training due for renewal within timely manner. Arrange in-house annual BLS. Arranging monthly PLTs with external and internal providers

Job responsibilities

HEALTH AND SAFETY Assist OM with Risk Assessments, Fire Alarm Testing, Legionella testing.

CQC Carry out monthly audits on SARS forms, Fridge Temps, Resus Trolley, First Aid Box, OM Health and Safety Report, Drug Inventory, Fire Extinguishers, Emergency Lights. Check the Admin and Reception Dashboards to ensure completed.

SAFEGUARDING To help with logging safeguarding concerns on the channel if required and to keep the communication log up to date

SIGNIFICANT EVENTS To log the SE form onto the matrix, forward to Partners for review and start the initial investigation. Close off the matrix once completed. Attend quarterly meetings

STATIONARY To order any stationary / equipment and to keep stationary log sheet up to date.

MEETING COORDINATOR To schedule all regular and ad hoc meetings. To take minutes where required and distribute to attendees, making sure actions are followed through.

CLINICAL MEETINGS To prep and present during bi monthly clinical meetings, on all CQC requirements. Keep records / type minutes, and ensure actions are completed.

WEBSITE to help with the creation of the new Oakfield website, and regular maintenance of site.

PRACTICE CLAIMS Assist PM with monthly preparation of financial claims.

EMPLOYEE FEEDBACK Collating and circulating Employees feedback.

ANNUAL SUBMISSION Data protection toolkit.

PATIENT FEEDBACK collating patient feedback.

Any other Ad-Hoc duties as and when required.

Shift pattern - Monday's, Tuesday's, Thursday's and Friday's.
