Job summary

Preston Park PCN are looking for a dynamic and motivated Medical Secretary to join our PCN team.

This is an essential front-line role within the PCN, providing an efficient comprehensive secretarial and administrative support service to our 5 practices.

Main duties of the job

  • Working to the standards and founding principles set by the Practices.
  • Provide efficient audio, copy typing and word processing service for GPs and health professionals as required
  • Typing letters, reports and associated documentation as required.
  • Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently.
  • Keep up to date with local pathways for referrals and use appropriate referral tools.

Our Primary Care Network

Preston Park PCN is a group of five surgeries - Beaconsfield Medical Practice, The Haven Practice, Preston Park Surgery, Stanford Medical Centre and Warmdene Surgery. We serve approximately 57,000 patients and aim to support and connect with our local community.

Primary Care Networks (PCNs) bringGP practices together with other local services such as community, mental health, social care and the voluntary sector to look after local populations. PCNs will help to joinupservices at a local level, focusing on the specific needs of these local populations, with patients still accessing routine GP appointments as they do now.

What are Primary Care Networks?

PCNs build oncurrent primary care services and enable greater provision of proactive, personalised, coordinated and more integrated health and social care.Clinicians describe this as a change from reactively providing appointments to proactively providingcare for the people and communities they serve. Where emerging PCNs are in place in parts of the country, there are clear benefits for patients and clinicians. PCNs usually have a 30-50k population and are geographically contiguous (next to ortouchinganother). All GP practices in our area are expected tosign up to be a member of aPCN.

Job description

Job responsibilities

Primary Responsibilities

1. Working to the standards and founding principles set by the Practices.

2. Provide efficient audio, copy typing and word processing service for GPs and health professionals as required.

3. Typing letters, reports and associated documentation as required.

4. Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently.

5. Keep up to date with local pathways for referrals and use appropriate referral tools.

6. Managing all enquiries in an effective manner.

7. Maintaining an accurate referrals database.

8. Actioning incoming emails relevant to job role.

9. Processing recall letters as requested.

10. Scanning of patient related documentation and attaching scanned documents to patients healthcare records.

11. Moving patient documentation from Docman to the relevant clinical system and assign this to the relevant person to action or file.

12. Summarising and inputting data into the patients healthcare records as necessary.

13. Processing referrals using the electronic referral system (ERS)

14. Processing requests for information i.e. SAR, insurance/solicitors letters and DVLA and DWP forms.

15. Logging and raising invoices for patient reports and letters, and other chargeable documentation.

16. Clinically coding data on EMIS Web and System One.

17. Answering incoming phone calls, transferring calls or dealing with the callers request appropriately.

18. Managing all administrative queries as necessary.

19. Carrying out system searches as requested.

20. Maintaining a clean, tidy, effective working area at all times.

21. Supporting all clinical staff with general administrative tasks as requested.

22. Provide caring, un-biased and timely support to patients and other individuals accessing the Practice.

23. Maintain confidentiality of all patients records, surgery practices and procedures at all times, using discretion in dealing with patients and others.

24. Support the training of staff in the PCN & Practice with the functions of the medical secretarial team.
