Job summary

This is an exciting opportunity to join our friendly team. We are a reasonably small practice and pride ourselves on being a family-friendly, approachable practice. The Patient Services team plays a key role in the practice, supporting patients and working closely with all members of the practice, and colleagues in the community and South Dartmoor and Totnes Primary Care Network.

Main duties of the job

You will be a caring and informative person for our patients when they require access to our services. You will be an active team member involved in day-to-day reception duties as well as administration tasks and will be a main point of contact between doctors, nurses, and other healthcare professionals. You will be responsible to the Office Manager for day-to-day activities.

About us

Catherine House Surgery is situated within Totnes town and we care for more than 4,600 patient in Totnes and the surrounding area. We are part of South Dartmoor and Totnes Primary Care network and we have a number of staff who work across the PCN practices including Clinical pharmacists, paramedics and a physiotherapist.

We are a small friendly practice with 5 GPs, A GP Registrar, and usually two Foundation Year Two doctors, two practice nurses, 2 HCA's, and a trainee nursing associate. We are a teaching practice with medical students from The Peninsula and Exeter Medical Schools and Physician Associate Students.

We aim to provide a friendly, personalised, effective and high-quality service, committed to the healthcare needs of our patients. We moved to new premises in February 2020 with a current building extension.

Booking patient appointments with GPs and other healthcare professionals using the practice clinical system - Systmone - in accordance with practice guidelines.

Explaining arrangements and registration of new patients with the practice on a permanent or temporary basis.

Responding to requests for assistance from patients and other visitors.

Entering requests for home visits onto a visit screen, detailing appropriate information.

Advise patients of appropriate charges for non-NHS services, accepting payments, and issuing receipts.

To receive incoming messages in a timely manner, take appropriate action, and deal with enquiries.

Attend staff and practice meetings as required.

Maintaining filing and administrative systems, including the scanning of electronic information.

Attend any role-specific course, as part of continuing professional development, and mandatory training as well as an annual appraisal.
