Job summary

Shefa Medical Practice is looking for an enthusiastic, flexible, highly motivated individual to join our hardworking and dedicated reception team.

We are looking for team player with excellent communication and customer service skills. Previous experience is desirable but not essential.

The post holder will be a member of a team of receptionists working at Shefa Medical Practice. The post holder will be expected to provide a friendly and welcoming service to the patients attending the practice and an efficient administration function to other staff. The post holder will be expected to participate in a reception rota, provide additional cover during periods of illness and annual leave, and must therefore have a very flexible approach to working hours, as well as contributing to a happy and positive workplace atmosphere.

Main duties of the job

Main Duties and Responsibilities

  • To receive and direct patients at the reception desk
  • To make appointments for Doctors and Nurses surgeries and all clinics
  • To extract and correctly re-file all medical records
  • To ensure the accurate recording of all requests for home visits, liaising with the duty doctor as appropriate.
  • To take messages and pass them accurately to the appropriate person.
  • To ensure that messages and requests for advice/results from Patients are entered via System One and directed to the appropriate clinician, in a timely manner.
  • To monitor, and re-stock as appropriate, stationery and clinical consumables in each doctors consulting room.
  • To ensure procedures for dealing with prescriptions are adhered to at all times, and the repeat prescriptions are printed within the given timeframe.
  • To open daily post, sort, and scan on to the patients notes.
  • To administer/monitor report requests, including photocopying as required
  • To liaise with hospitals/monitor referrals made
  • To attend annual performance reviews
  • To attend any meetings or updates necessary for this role
  • Keeping the reception/clinical areas, and all common parts, clean and tidy.
  • To undertake Ad Hoc duties as directed by the Senior Receptionist/Practice Manager
