Job summary

We are looking for an enthusiastic Receptionist to join our team to undertake a wide range of administrative duties.

As a Receptionist, you will be supporting our talented team of clinicians and administrative staff.

If you are a cheerful, patient and resilient self-starter, this could be the role for you.

Main duties of the job

  • Greeting and acting as the first point of contact for patients
  • Triaging patient appointments
  • Signposting patients to patient group (PPG) social prescribing activities
  • Maintaining and managing patient records
  • Responding to requests for information by telephone and email

Job description

Job responsibilities

The following are the core responsibilities of the Receptionist. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

1. Maintain and monitoring the practice appointment system

2. Process personal, telephone and e-requests for appointments

3. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

4. Signpost patients to the correct service

5. Signpost patients to PPG social prescribing activities

6. Process incoming and outgoing mail

7. Initiating contact with and responding to, requests from patients, team members and external agencies

8. Process referrals to external agencies such as secondary care using the electronic referral system (ERS)

9. Facilitate remote collection of childhood immunisation data

10. Process all DNA letters in accordance with current policy

11. Action GP2GP tasks

12. Read code data on EMIS

13. Photocopy documentation as required

14. File and store records as required

15. Summarise records

16. Monitor office supplies

17. Data entry of new and temporary registrations and relevant patient information as required

18. Input data into the patients healthcare records as necessary

19. Scanning of patient related documentation and attaching scanned documents to patients healthcare records

20. Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team

21. Manage all queries (including administrative queries) as necessary in an efficient manner

22. Carry out system searches as requested

23. Maintain a clean, tidy, effective working area at all times

24. Monitor and maintain the reception area and notice boards

25. Support all clinical staff with general tasks as requested

Essential

  • Educated to GCSE level or equivalent

Desirable

  • GCSE Mathematics & English (C or above)
  • AMSPAR Receptionists Qualification
  • NVQ Level 2 in Health and Social Care

Experience

Essential

  • Experience of working with the general public

  • Experience of Receptionist duties
  • Experience of working in a healthcare setting

  • Excellent communication skills (written and oral)
  • Strong IT skills
