Job summary
Essex Lodge Surgery is looking for a full-time experienced GP Administrator with excellent communication and customer service skills to join our friendly team. This a fixed term position, subject to review with 6 months provisional period.
The
purpose of the role is to:
Offer general assistance to the practice team and
project a positive and friendly image to patients and other visitors, either in
person or via the telephone.
Receive, assist and direct patients in accessing
the appropriate service or healthcare professional in a courteous, efficient
and effective way
Undertake a variety of administrative duties to
assist in the smooth running of the practice, including the provision of secretarial
and clerical support to clinical staff and other members of the practice team
Facilitate effective communication between
patients, members of the primary health care team, secondary care and other
associated healthcare agencies

Essex Lodge Surgery serves a population of
just approx 17,000 patients from diverse backgrounds. We are a
forward thinking and progressive practice, constantly working to improve standards,
the patient journey and clinical outcomes.
Our clinical workforce consists of 2
GP Partners, 4 Salaried GPs, 2 sessional GP, 2 GP Registrar, 1 Advanced Nurse
Practitioner, 1 Nurse Prescriber, 3 Practice Nurses, 1 Nurse Associate, 3 clinical pharmacist, 1 physiotherapist and 1 Social Prescriber, 1 Practice Paramedic.
This clinical team is supported by a managerial, admin and reception team.
You will become part of our
busy reception team and strive to ensure our patients receive the best possible
service from the Practice.
Working hours is 37.5 hours per
week. Opening Hours are between Monday 7.30am to 7.00pm, Tuesday to Friday from
8:00am to 6:30pm and Saturday 08:00am to 1:30pm.
Our Receptionists deals with
our day-to-day patient contact, handling incoming calls requesting appointments
and enquiries, and welcoming patients into the Surgery. Receptionists also do
much more, supporting the GPs and Nurses with keeping patients informed about
their health. We are looking for an enthusiastic, professional, clearly spoken
receptionist who has experience of working within a busy GP surgery using EMIS WEB Clinical System. Full training and support would be offered to
the successful applicant.

- Processing Online Forms
- Action GP2GP tasks
- Maintaining worklists
- Processing of changes to patient registration, deduction of record and new patient registration
- Book patients for clinicians using robust call/recall system to invite patients
- Responsible for filling in nurses/ HCA clinics
- Work on QOF register
- Read coding on clinical system on patient notes
- Learn to run searches on EMIS on different registers
- Creating & updating spreadsheets on calls & recalls
- Report to practice Director/Manager on weekly basis regarding progress of call & recall
