DUTIES:
Job Summary: This post
provides secretarial and administrative support to the clinical team in order
to help the practices develop their programme of improving the quality of care
for patients. The post aims to promote
good working relationships with the patients and among all members of the team.
The
post holder is expected to work within the practice team to promote the
practice mission: Patients in Partnership

1)
General Tasks:
Type letters using a word processor and record
details of correspondence in patients records, electronically and/or manually.
Referral and general transcription from audio
and Quick and Early Diagnosis referrals.
Assist patients and doctors to achieve the
terms of the Choose and Book functionality.
Work with the practice to achieve the quality
indicators in the Quality Outcomes Framework and the requirements of the
enhanced services, particular reference to identifying and contacting patients
by telephone or by recall letters.
Undertake administrative duties for the
recording, obtaining payment, patient consent, distribution and copying and
dispatch of private medical reports, including liaising with patients across
both sites.
Recording out of hours contacts into patients
records and advising management of any urgent response is required.
General administrative duties e.g. faxing,
photocopying, etc.
Scanning letters, results and completed
referral forms e.g. QED and X-ray.
Providing telephone support to reception.
Dealing with general queries.
The post holder may be called upon to provide
support for the training and teaching activities that take place within the Practice,
using SystmOne.
Nursing, community, hospital and social
services and patient transport liaison.
Typing of agendas, minutes and other
documents. Attendance at some practice
meetings is required.
Filing of correspondence, minutes of meetings.
Using Microsoft software as appropriate.
Pulling and filing records.
Making refreshments as required.
Covering Annual Leave, sickness including other
functions eg. Admin as required.

carry out any task or procedure that is beyond the secretary competence.
Attend regular study days and updates to
maintain standards of practice.
Maintain your personal development profile.
Act as support and share good practice with
other secretaries.
The post holder will also co-ordinate his/her
activities with those of colleagues undertaking a similar role.
From the nature of the work involved, there are
times when the post holder will have to work beyond their normal finish times
and also work additional hours to provide absence relief for colleagues.
The job holder will be
expected to undertake new tasks as this post develops that are within their
competency.
Appropriate training
will be provided where necessary.
