Job summary

We are seeking a motivated Receptionist/Administrator to joi our friendly team. This is a key role within the practice, supporting the clinical and administration team and ensuring the smooth flow of patient services.

Main duties of the job

  • First point of contact for patients in person and by phone

  • Deliver a professional and empathetic service.

  • Manage appointments, cancellations, registrations, prescription requests, and general queries via EMIS.

  • Support clinical triage and direct patient flow efficiently.

  • Confident daily use of EMIS Web for record updates, coding, and appointment management.

  • Handle communications (email, mail, results, documents).

  • Assist with document management (scanning, coding, AccuRx tasking).

  • Uphold data accuracy, confidentiality, and GDPR compliance.

  • Provide admin cover as needed across the team.

  • Strong experience using EMIS Web in primary care.

  • Excellent patient communication and multitasking skills.

  • Accurate, reliable, and professional.

  • Solid understanding of confidentiality and NHS governance.

  • Experience in a busy reception setting.

  • Proactive in service improvement.

The Shrubberies Medical Centre is a small, friendly GP surgery located in South Woodford, offering personalised care and attention to all our patients. With a registered list of approximately 8,500 patients, we pride ourselves on providing accessible, patient-centred care in a supportive and welcoming environment.

We are committed to delivering high-quality healthcare through a collaborative, multidisciplinary approach. In addition to our experienced team of GPs and an Advanced Nurse Practitioner (ANP), we are supported by a dedicated group of professionals including:

  • First Contact Practitioner (MSK specialist)

  • Clinical Pharmacist

  • Care Co-ordinator

  • Social Prescriber

  • Mental Health Practitioner

  • Phlebotomist

This wider team allows us to provide holistic, timely, and proactive care, addressing both medical and social needs within our patient population.

We are open five days a week (Monday to Friday) and also offer extended access to care during evenings, weekends, and bank holidays via our local network. This ensures our patients can access medical advice and treatment at a time that suits them best.

We are looking for a motivated Receptionist/Administrator to join our friendly team.

Key ResponsibilitiesReception & Front Desk Duties
  • First point of contact for patients, both face-to-face and over the phone.

  • Manage appointments, cancellations, and prescription requests using EMIS.

  • Register new patients and handle general queries with professionalism and empathy.

  • Support clinical triage and maintain patient flow efficiently.

Clinical System & Referral Admin
  • Confident daily use of EMIS Web for managing appointments, patient records, coding, and documentation.

Administrative Support
  • Handle incoming and outgoing communications (emails, letters, results, documents).

  • Process and code clinical documents using EMIS and AccuRx.

  • Manage tasks within EMIS Web

  • Maintain confidentiality, data accuracy, and GDPR compliance.

  • Provide general administrative and reception support, including cover for staff absence.

Essential Requirements

  • Good communication and interpersonal skills; confident dealing with the public.

  • Excellent time management, accuracy, and attention to detail.

  • Solid understanding of NHS confidentiality, data protection, and clinical governance.

Desirable

  • Experience with AccuRx for tasking and patient messaging.

  • Previous reception experience in a fast-paced medical setting.

  • Willingness to support quality improvement and practice initiatives.

  • Core hours: Monday - Friday 8 - 6.30pm
