Job summary

Kirkbymoorside Surgery has an exciting opportunity for a full time Practice Manager to join the team. We are a semi-rural practice situated in the market town of Kirkbymoorside on the edge of the North Yorkshire Moors serving a population of 6000 patients. We are looking to recruit a dynamic and motivated manager with excellent leadership skills to manage, motivate and continue the smooth running of our forward thinking Practice. Our administration and reception team are excellent, reliable and hardworking and will provide you with great support. We play an active part in South Hambleton and Ryedale PCN. As an innovative practice we are always open to new ways of working. If you feel you can contribute to our performance, we would like to hear from you.

Interviews will take place mid June.  

Main duties of the job

To manage and coordinate all aspects of practice functionality, motivating and managing staff, optimising efficiency and financial performance, ensuring the practice achieves its long-term strategic objectives in a safe and effective working environment.

Through innovative ways of working, lead the team in promoting ED&I, SHEF, quality and continuous improvement, confidentiality, collaborative working, service delivery, learning and development and ensure the practice complies with CQC regulations.

About us

We have four GP Partners and a full complement of nursing and administrative staff.  We are a high QOF achieving practice and at our last CQC inspection were rated good with outstanding for older people. We are EPS prescribers and a GMS Training Practice.

Job responsibilities

The following are the core responsibilities of the Practice Manager. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels.

The Practice Manager is responsible for:

a. Overseeing the day-to-day operations of the practice, ensuring staff achieve their primary responsibilities

b. Functional management of all clinical and administrative staff

c. Direct line management of the following staff: Reception Manager, Practice nurses, HCAs and salaried GPs.

d. Managing the recruitment and retention of staff; [develop, implement and embed an effective succession plan]

e. Establishing, reviewing and regularly updating job descriptions and person specifications ensuring all staff are legally and gainfully employed.

f. Developing, implementing and embedding an effective staff appraisal process

g. Implementing effective systems for the resolution of disciplinary and grievance issues

h. Maintaining an effective overview of and ensuring compliance with HR legislation

i. Ensuring all staff have the appropriate level of training to enable them to carry out their individual roles and responsibilities effectively

j. Managing the financial elements of the practice alongside the Finance Assistant, including budgets, bank accounts, accounting systems, petty cash, etc. seeking to maximise income and reduce expenditure in conjunction with the partners

k. Maintaining an effective liaison with the accountant, overseeing practice accounts, ensuring year-end figures are presented alongside the Finance Assistant.

l. Briefing partners on all financial matters, including forecasting.

m. Managing and processing partners' drawings, PAYE and pensions for practice staff alongside the Finance Assistant

n. Ensuring the practice has appropriate insurance cover

o. Developing, implementing and embedding an efficient business resilience plan (BRP)

p. Managing contracts for services i.e., cleaning, gardening, window cleaning etc.

q. Managing the procurement of practice equipment, supplies and services

r. Coordinating the reviewing and updating of all practice policies and procedures

s. Leading change and continuous improvement initiatives; coordinating all projects within the practice

t. Coordinating and leading the compilation of practice reports and the practice development plan (PDP)

u. Ensuring the team reach QOF targets (supported by the nursing and administrative leads)

v. Adopting a strategic approach to the management of all patient services matters

w. Developing, implementing and embedding an effective communication strategy (internal and external)

x. Ensuring the practice maintains compliance with its NHS contractual obligations

y. Actively encouraging and promoting the use of patient online services

z. Publishing communications for internal and external use such as a practice newsletter on a quarterly basis

aa. Maintaining the practice and NHS choices websites

bb. Liaising at external meetings as required

cc. Marketing the practice appropriately

dd. Managing/supporting the management of the Patient Participation Group

ee. Effectively managing all complaints in line with current legislation and guidance

ff. The management of the premises, including health and safety aspects such as risk assessments and mandatory training
