Job summary

Dr Raut Partnership has a vacancy for two GP Receptionist / Administrators to work in both our main and branch Surgeries in Bransholme and Sutton Park in Hull.

Hours of work are negotiable .

Main duties of the job

The role involves greeting patients, booking appointments, producing prescriptions, taking messages, dealing with queries, but also involves a lot of IT work including emails, scanning, summarising and coding etc. The working environment can be stressful at times with competing tasks. Therefore the successful candidates must be able to prioritise their workload.

It is therefore imperative that the candidate has excellent IT skills, excellent communication skills and the ability to work under pressure.

It is essential that the successful candidates are able to work flexibly to cover staff sickness and holidays and can travel between our two sites (approximately 2.5 miles).

Previous NHS experience is essential, and experience in a GP Practice would be beneficial.

Job responsibilities

MAIN DUTIES AND RESPONSIBILITIES

1.

Greet patients and visitors to the practice.

2.

Book in, amend and cancel patient appointment inline with practice appointments procedures ensuing optimum efficiency of the appointment system.

3.

Ensure that patients without appointments but who need 'urgent consultations are booked into appropriate slots and referred to a GP where necessary.

4.

Receive and accurately record requests for home visits, assessing urgency in accordance with the Practices protocols. Print off home visit summary sheets.

5.

Ensure computerised appointment system is up-to-date.

6.

Respond and/or redirect all patient and visitor requests/queries accordingly.

7.

Explain practice arrangements and formal requirements to new patients and temporary residents, ensure procedures are completed.

9.

Advise patients of relevant charges for private services, accept payment and issue receipts for same.

10.

Produce repeat prescriptions according to practice procedures and ensure timely distribution of completed prescriptions.

11.

Ensure correspondence, reports, results etc. are scanned and filed electronically in correct patient record.

12.

Ensure reception and waiting areas are kept neat and tidy

13.

Re-stocking of information leaflets as appropriate

14.

Answering incoming telephone calls, ensuring calls are documented and redirected accordingly.

15.

Undertake administration tasks as requested by the Practice Manager

16.

Action start and end of day procedures ensure answering machine service for out of hours information is directed appropriately switched to answer machine at close of business each day.

17.

Ensure up-to-date maintenance of both computerised and manual filing systems (i.e. patient notes).

18.

Check emails on a daily basis. Also regularly check fax machine for incoming messages. Send faxes as required.

19.

Check and Action tasks on clinical system as required

Undertake note summarisation of new patient records.

22.

Accept and process lab specimens ready for collection.

23.
