Job summary

An exciting opportunity to join and experienced and friendly team, providing an excellent service to our 11,000 patients. The role be to provide general secretarial support to the practice manager, doctors and health professionals, involving word processing, e-referrals and referral templates with general clerical work across two sites.

We are looking for someone to work between 20 - 30 hours per week (please specify desired number of hours within the application). The job is based at the Borrowash site, although there may be the need to travel between the two sites.

We would welcome informal discussions about the role.

Main duties of the job

  • Typing of all clinical and non-clinical administration from GPs and clinical team
  • Record all contact regarding patients on the clinical system.
  • Ensure that appropriate referral forms are used by the team
  • Complete fast track referrals via the ERS system.
  • Complete e-referrals and code accordingly
  • Check for, chase up and action e-referral rejections.
  • Chase and follow up requests from patients and clinicians.
  • SystmOne tasks to be actioned in a timely manner
  • Telephone contact with outside agencies.
  • To perform any other task as required, appropriate to the role of a medical secretary.

About us

The Overdale Medical Practice is a well-established practice providing excellent care to 11,000 patients. Our team consists of 8 GPs, 3 nurse practitioners, a long term conditions nurse and four practice nurses. We have a highly experienced administrative team who work really well together to support the smooth running of the surgery.

We also involved in a primary care network with one other practice, through which we employ a team of pharmacists, social prescribers, a health coach and a physio.

Job responsibilities:

  • To provide an copy typing and word processing service for GPs and health professionals as required. This includes the typing of letters, reports, patient referrals, minutes, memorandums, etc. in an accurate and quality manner.
  • To organise referrals through the electronic referral service
  • To liaise with patients with regard to their hospital appointments
  • To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
  • To assist the practice manager with all clerical and administrative duties.
  • To make appointments, bookings and admissions as required.
  • To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.
  • To retrieve medical records and assist the completion of medical/insurance records.
  • File patient records and correspondence in patient medical records.
  • To maintain the computer clinic system in an accurate and secure manner.
  • To assist with the gathering of statistics and information when required.
  • To provide cover for members of the secretarial team during periods of sickness and annual leave.
  • In liaison with the clerk responsible, maintain adequate supplies of office stationery in order to perform secretarial duties.
  • To receive and dispatch mail and maintain a pending system.
