Job summary
We are looking for a Practice Administrator who has excellent communication and organisational skills to join our friendly and supportive Practice team.
Main duties of the job
You will be responsible for undertaking a wide range of administrative duties and provision of administrative support to the multidisciplinary team. Duties can include but are not limited to:
- Managing your time and workload efficiently
- Monitor task lists and take appropriate actions
- Provide admin support for all Enhanced services
- Code relevant information into the practice clinical system and ensure follow up actions are identified and completed in a timely manner.
You will become proficient in using our clinical system (SystmOne) and other software as part of your duties.

You will be working alongside the Practice Manager and Practice Secretary in a small, friendly surgery.

Job responsibilities
-
- Provide admin support for the Learning disabilities DES.
- Provide admin support for Care Home annual reviews as part of the care home DES.
- Continually assess and evaluate systems recommending changes and improvements to the Practice Manager as appropriate.
- Assisting the practice manager and clinical team with audit searches and projects as necessary.
- Enter read codes appropriate to diagnosis and treatment information received from secondary care providers on to the SystmOne clinical system.
- Check the Cytology report and read code as appropriate.
- Send out recalls for Shingles, Pneumococcal, Spironolactone, DOACs, B12s, PSAs, DMARDS, Amiodarone, Enhanced Services and assisting nurses with monthly recalls for Asthma, COPD and Diabetes
- Collate information from home BP monitor record sheets and add to SystmOne notify GPs as per practice protocol
- Provide a typing service for the practice GPs when the secretary is on annual leave.
- Provide cover for all aspects of secretarial work when the secretary is on annual leave.
- Compiling and despatching PPA and enhanced services claims.
- Partake in audits as directed by the clinical lead
- Order medication for home visit boxes, updating spreadsheet as required.
- Other ad-hoc duties include recording and allocating insurance reports, Fundoscopies, Bone density scans, sending diabetic eye screening registration forms, company ordered stoma products. Setting up protocols in SystmOne.
- Action GP2GP tasks and integrate the records.
- Check patient records for sensitive information when they request access to their detailed coded records.
- Record A&E attendances in line with practice protocol
- Check failed SMS weekly and update records
- Monitoring tasks from GPs daily and assigning home visits to the Network phlebotomist
- Opening up procedures as required
In addition to the primary responsibilities, the administrator may be requested to:
Support reception staff, providing cover during staff absences
Book appointments
As required support in the management of repeat prescriptions, ensuring they are processed accurately and efficiently
