Job summary

We are looking to recruit an experienced, friendly, organised, and enthusiastic individual to join our hardworking and committed team. The ideal candidate will have excellent interpersonal skills, the ability to work well under pressure, and will be committed to offering the best possible care to patients and excellent support to our clinical team.

Weekly hours are Monday - Friday 1pm - 6pm

Main duties of the job

The post holder will be responsible for undertaking a wide range of secretarial and administrative duties. Duties will include but are not limited to, copy and audio typing, the processing of information (electronic and hard copy) in a timely manner, liaising with external agencies such as secondary care and community service providers in accordance with current policies, including the use of the electronic referral service (ERS). The post holder must work as part of a team, have the ability to organise and prioritise their own workload on a day to day basis.

Job description

Job responsibilities

The following are the core responsibilities of the Medical Secretary. There may be, on occasions, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:

  • To provide an efficient copy and audio typing and word processing service for GPs and health professionals as required. This includes the typing of letters, reports, patient referrals, letters to patients and outside agencies etc. in an accurate and quality manner.
  • Produce meeting agendas and record the minutes of meetings
  • Liaise with GPs and health professionals with any queries or missing data to ensure referrals are dealt within the set timeframe.
  • Process referrals using the electronic referral system (ERS)
  • Process urgent 2 week wait referrals in a timely fashion and monitor accordingly.
  • Source new referral criteria/organisations as requested
  • Respond to the needs of GPs and Nurses to enable efficient clinics
  • Organise and implement new systems/protocols as required for efficient, smooth running of secretarial office
  • Fully utilise EMIS Web and other IT systems
  • Make and receive telephone calls to/for GPs, patients, consultant secretaries and outside agencies
  • Support in the management of QOF and Enhanced Services
  • Process requests for information i.e SAR, insurance/solicitors letters and DVLA forms
  • Redaction of records
  • Process patient letter requests and invoice for private work accordingly
  • Support reception / administrative staff, providing cover during staff absences
  • To keep a record of postage stamps used and to order more when necessary.
  • To make sure that stationery items and medical supplies do not run out and to order as necessary.
  • Make sure GPs rooms are stocked with all relevant paperwork needed for referrals etc.
  • To always work safely in accordance with legislation and Practice policies and procedures
  • Flexibility of working hours/able to work at the desired times in line with the needs of the practice
  • Any other reasonable duties requested by the Practice Manager or GP

In addition to the above, the post holder will show respect and courtesy to patients and colleagues, and always maintain the confidentiality of patient and other Practice information. Working occasional extra hours may be required.
