Job summary

At Weatheroak Medical Practice, our GP Receptionist is a vital part of the team, ensuring the smooth running of all administrative processes that support our GPs. This includes managing incoming and outgoing calls, booking patient appointments, reporting results, providing patient services, processing prescriptions, handling clinical correspondence, and using our practice IT systems efficiently.

As one of the first points of contact for patients, the GP Receptionist plays a key role in representing Weatheroak Medical Practice, creating a professional, friendly, and welcoming experience for everyone who visits or contacts us.

Main duties of the job

Patient Interaction

  • Welcome patients and visitors in person, over the phone, and via email.

  • Provide clear information and guidance, and direct patients to the correct services or members of staff.

Appointment Management

  • Schedule routine and urgent appointments, maintain waiting lists, and coordinate with clinicians to ensure timely patient care.

Administrative Duties

  • Update and maintain accurate patient records.

  • Process prescription requests and manage incoming and outgoing correspondence.

  • Carry out general administrative tasks to support the smooth running of the practice.

Communication

  • Relay messages accurately and promptly between patients, doctors, and other staff.

  • Ensure all communication is clear, respectful, and timely.

Confidentiality

  • Maintain strict patient confidentiality at all times, following data protection laws and practice policies.

  • Previous work in a GP surgery, NHS, or healthcare environment.
  • Experience with EMIS or other clinical systems.
  • Experience processing prescriptions and handling confidential information.

Qualifications

  • Good general education to GCSE level (or equivalent), including English and Maths.
  • Competence in using Microsoft Office applications (Word, Outlook, Excel).
  • Confidence in using IT-based patient management systems (training can be provided).

Desirable

  • NVQ Level 2 or above in Business Administration, Customer Service, or equivalent.
  • Training in medical terminology.
